Bachelor's degree in an appropriate area and three years of relevant experience; or an equivalent combination of education and experience.
Job Description:
The Manager, Administrative Services oversees the University of Florida's PCard Program and plays a key role in monitoring, analyzing, and reporting UF spend data across PCard, Accounts Payable, and purchasing systems. This position leads a team of four, ensures compliance with university and state regulations, manages audits and daily operations, and supports campus departments with financial system and procurement-related guidance. The role requires strong analytical, auditing, leadership, and communication skills to maintain program integrity and drive efficiencies across UF's procurement processes.
Key Duties & Responsibilities
PCard Program Management
  • Direct overall management and strategy of UF's PCard Program.
  • Supervise four team members (Administrative Specialists and Program Assistants).
  • Review and approve PCard applications and transaction overrides.
  • Ensure timely approval and reconciliation of PCard transactions.
  • Oversee payment to the bank and reconciliation of bank payments.
  • Manage compliance with PCard rules, disciplinary actions, and documentation of program processes.
  • Serve as UF representative at national PCard events and manage audit interfaces/responses.

UF Spend Data Analysis & Reporting
  • Conduct spend analysis using PCard, Accounts Payable, and Purchase Order data.
  • Generate spend reports and fulfill public records requests.

Campus Support & Outreach
  • Provide fiscal and procurement support through presentations, site visits, email, and phone engagement.
  • Troubleshoot transaction, reconciliation, and accounting issues across UF's financial systems.

Financial Systems Support
  • Assist departments with challenges in myUFL and myUF Market (PeopleSoft and SciQuest).

Departmental & Management Support
  • Serve as backup for other Procurement Services managers.
  • Perform additional functions as needed to support Procurement Services operations.

Expected Salary:
$70,000-$80,000
Preferred:
Strong skills in management, data, accounting, auditing and communication. Ability to query, organize and review data. Ability to analyze and create easily understood reports of complex data
