Job description
Responsibilities and Essential Job Functions
- Defines, monitors, and reports key performance indicators for procedural scheduling, such as schedule fill rate, capacity utilization, cancellations, on-time starts, scheduling accuracy, and patient access and wait times.
- Validates and reconciles data across scheduling and reporting systems to ensure accurate, consistent, and reliable reporting.
- Analyzes performance trends to identify improvement opportunities, such as underused capacity, high cancellation rates, and access delays, and quantifies their operational impact.
- Leads root cause analysis using structured quality and process improvement methods, and validates findings with frontline staff and leaders.
- Develops improvement plans with clear problem statements, goals, and measures of success, and helps define standard work and best practices.
- Coordinates and manages performance improvement initiatives with partners across scheduling, clinics, procedural areas, and informatics, and reports progress and results.
- Audits scheduling workflows and data for compliance with established standards and policies, and closes gaps through targeted feedback and education.
- Builds and maintains dashboards, scorecards, and reports, and delivers clear, regular summaries of performance, key drivers, and recommended actions.
- Standardizes how performance is defined and measured, and maintains a data dictionary to ensure consistent reporting across sites and systems.
- Monitors performance after changes are implemented to confirm results are achieved and sustained, and establishes controls to prevent regression.
- Tracks and trends safety events and operational escalations related to scheduling, and raises emerging risks to leadership.
- Translates data into clear, prioritized recommendations that support leadership decision-making; leaders own decisions and execution.
- Serves as a resource and mentor to staff in the use of data and quality management, and models a continuous-improvement approach.
- Maintains current knowledge of best practices in procedural scheduling, patient access, and healthcare quality, and applies change-management techniques to support successful implementation.
- Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience
- Bachelors Degree in nursing from an accredited college or university.
Preferred Education and Experience
- Master's Degree in nursing from an accredited college or university.
- 3 or more years of in procedural scheduling, perioperative/procedural operations, or healthcare quality.
Required Licensure and Certification
- Licensed Registered Nurse (LRN) - Multi-State - State Board of Nursing
Knowledge Requirements
- Experience with healthcare reporting, data analysis, and data visualization tools
- Knowledge of Epic scheduling applications (e.g., OpTime Scheduling)
- Knowledge of quality and process improvement methods (e.g., PDCA and root cause analysis)
