Summary: The Check-In Clerk is responsible for managing the check-in process for incoming and outgoing shipments, drivers, and goods within a transportation or logistics facility. This role provides senior-level support for monitoring, tracking, and inspecting freight to meet customer needs while ensuring shipments are delivered on time and in a cost-efficient manner.

The incumbent ensures accurate documentation, effective coordination, and proactive communication across transportation, warehouse, and customer operations, while modeling company core values.

Typical Responsibilities:

  • Check in drivers, carriers, and vendors upon arrival
  • Verify shipment details, paperwork, and identification
  • Prepare and process shipping documents (e.g., bills of lading, manifests, routing paperwork)
  • Accurately enter, update, and maintain shipment data in internal systems
  • Close out shipment files and distribute documentation in a timely manner
  • Monitor, track, and inspect inbound and outbound freight to ensure accuracy, quality, and compliance with customer requirements
  • Ensure freight is delivered on time and in a cost-efficient manner
  • Identify, investigate, and resolve shipment discrepancies, damages, or delays
  • Assign dock doors and coordinate loading/unloading activities
  • Communicate pickup requests and scheduling updates with dispatch
  • Manage appointment schedules, including delays or changes
  • Provide shipment status updates, including arrivals and departures, to customers
  • Respond to inquiries and resolve shipping issues professionally
  • Act as a liaison between drivers, warehouse staff, dispatch, and customers
  • Process shipment orders and support rate quoting as required
  • Ensure efficient and cost-effective shipment handling
  • Train and support new employees on processes, systems, and procedures
  • Follow company policies, transportation regulations, and safety procedures
  • Report incidents, irregularities, or safety concerns promptly
  • Perform other duties as assigned

Requirements:   

  • Experience in logistics, transportation, or warehouse operations preferred
  • Knowledge of shipping documentation and freight processes
  • Strong attention to detail and organizational skills
  • Excellent communication and customer service skills
  • Ability to multitask in a fast-paced environment
  • Proficiency with computer systems (e.g., Microsoft Office, TMS/WMS)

Minimum:

  • High School Diploma or GED.
  • Minimum 5 years related experience.

 

Preferred:

    • Associate's Degree.
    • Experience with freight coordination, dispatch support, or rate quoting

Travel:  None    

Salary Range: $21.21-  $31.82 CAD/Hour

This salary range is presented in compliance with applicable pay transparency laws and reflects the range we reasonably expect to pay for this role at the time of posting. Individual compensation is determined based on relevant experience, education, skills, and alignment with internal compensation practices.
