Commercial Logistics and Upfit Coordinator  

Location: Olathe Fleet Solutions  

Pay Range: $60,000-$70,000 + Commission 

Hours: Monday-Friday: 8 am-5 pm

Position Overview: 

The Logistics and Upfit Coordinator manages daily freight operations by coordinating shipments, communicating with carriers and customers, and monitoring deliveries to ensure timely and cost-effective transportation. This role supports Account Executives, maintains accurate shipment and carrier records, resolves issues proactively, negotiates carrier rates, and ensures compliance while delivering exceptional customer service. 

Responsibilities: 

  • Schedule inbound and outbound shipments in support of Account Executives. 

  • Coordinate drivers and vehicle movement across dealer lots, AME/upfit vendors, internal facilities, and client locations. 

  • Oversee final delivery readiness and accuracy. 

  • Communicate with shippers, carriers, and clients to track freight and establish ETAs. 

  • Provide timely updates and resolve shipment inquiries. 

  • Escalate potential delays or disruptions to Sales, Account Management, Carrier Teams, and leadership. 

  • Monitor shipments to ensure on-time delivery and maintain delivery standards. 

  • Address service issues and track carrier performance. 

  • Maintain strong relationships with logistics partners. 

  • Prepare and process invoices, contracts, bills of lading, and related logistics documentation. 

  • Maintain accurate customer and carrier records, including rates and performance metrics. 

  • Ensure compliance with industry regulations and internal policies. 

  • Negotiate carrier rates and service terms to secure cost-effective transportation. 

  • Support logistics reporting, data analysis, and administrative tasks. 

Qualifications: 

  • Minimum one year of Freight Brokerage experience required. 

  • Strong organizational skills and attention to detail. 

  • Excellent communication and customer service skills. 

  • Proficiency in Microsoft Office Suite and Logistics Software. 

  • Ability to multitask and work in a fast-paced environment. 

  • Problem-solving skills and the ability to think on your feet. 

  • Commitment to continuous improvement and scalable processes. 

  • Supply chain knowledge is a plus. 

  • Knowledge of Fleet Industry regulations is an advantage.
