Full Time Receptionist/Office Coordinator Location: OTJ Architects, DC Wharf
Status and Schedule: Hourly (40 hours a week): (8:15a-4:15p) Daily on site at 580 Water Street, SW DC-eligible for Benefits
Reports to: Chief People Officer
Position Summary OTJ Architects is seeking a professional, friendly, and highly organized, experienced Front Desk Receptionist Office and Coordinator to serve as the first point of contact for employees, clients, and visitors and coordinate facilities/administrative needs for the DC Wharf office. This role is responsible for providing exceptional customer service while supporting daily office operations and administrative functions. The ideal candidate is proactive, self-directed, detail-oriented, and able to manage multiple priorities while maintaining a welcoming and professional environment consistent with OTJ's values and culture.

  • Greet and assist visitors, clients, vendors, and employees in a professional and welcoming manner.
  • Manage the front desk during scheduled business hours.
  • Answer, screen, and direct incoming calls and inquiries.
  • Ensure reception, conference rooms, and common areas remain organized, presentable, and welcoming.
  • Receive and distribute incoming mail, packages, and deliveries.
  • Coordinate facilities maintenance
Office Administration
  • Manage and administer the firm's seat reservation and workspace booking system.
  • Coordinate conference room and meeting space reservations.
  • Assist with filing, data entry, document preparation, and administrative support tasks.
  • Maintain employee and user access for professional development platforms, subscriptions, and learning resources.
  • Support employee onboarding logistics, including workspace setup and welcome materials.
  • Assist with calendar coordination, meeting logistics, and travel arrangements as needed.
  • Maintain office records, inventories, and administrative files.
  • Provide support to Human Resources, Administration, and Operations teams on special projects and initiatives.
  • Other duties as assigned.
Facilities amp; Office Operations
  • Monitor office, kitchen, and hospitality supplies and coordinate replenishment as needed.
  • Maintain organization of office storage areas, supply rooms, and common spaces.
  • Coordinate facility-related requests with building management and external vendors.
  • Support office events, meetings, training sessions, and employee engagement activities.
  • Assist in maintaining a professional, organized, and efficient workplace environment.
General Support
  • Follow established procedures and directions from management.
  • Demonstrate flexibility in supporting business and administrative needs.
  • Maintain confidentiality of employee and business information.
  • Perform other duties as assigned.
Qualifications Required
  • Bachelors or Associates Degree
  • 4 plus years of experience in a receptionist, administrative assistant, office coordinator, or similar role.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Professional, friendly, and customer-service-oriented demeanor.
  • Ability to work independently, prioritize tasks, and manage responsibilities with minimal supervision.
  • Proficiency with Microsoft Office, Outlook, Teams, and other workplace technology tools.
  • Reliable, detail-oriented, and highly responsive.
Preferred
  • Experience working in a professional services, architecture, engineering, or design environment.
  • Experience managing office operations, facilities support, workplace reservation systems, or employee onboarding activities.
