Responsibilities Department Leadership & Operational Oversight
  • Lead and manage the Scheduling department, ensuring achievement of production, quality, and service-level objectives.
  • Develop, implement, and maintain operational procedures for internal teams and external vendors.
  • Monitor workflow volumes and resource allocation to ensure optimal productivity and service delivery.
  • Identify process improvement opportunities and implement solutions that enhance efficiency, quality, and client satisfaction.
  • Review operational metrics and reporting to assess department performance and identify trends.
  • Prepare and present performance reports and recommendations to senior leadership.
People Leadership & Workforce Management
  • Recruit, coach, mentor, and develop team members to support individual and departmental success.
  • Conduct performance evaluations and establish measurable goals and productivity standards.
  • Provide guidance and support for complex operational issues and escalations.
  • Manage staffing levels, employee schedules, time-off requests, and coverage planning to ensure business continuity.
  • Foster a positive, collaborative, and high-performing work environment that promotes employee engagement and accountability.
Client Service & Issue Resolution
  • Serve as an escalation point for client, vendor, and internal operational concerns.
  • Partner with internal departments to ensure timely resolution of issues and consistent delivery of client expectations.
  • Maintain strong client relationships through responsive communication and proactive problem solving.
  • Participate in client audits and support responses to audit requests, questionnaires, and compliance reviews.
  • Escalate material risks, operational concerns, or client issues to leadership as appropriate.
Process Improvement & Strategic Initiatives
  • Serve as a subject matter expert for scheduling processes and operational workflows.
  • Evaluate current processes and recommend enhancements to improve efficiency, accuracy, and customer experience.
  • Collaborate with technology, product, and operational teams on system enhancements and process automation initiatives.
  • Support testing and user acceptance activities for new systems, tools, and process enhancements.
  • Monitor industry trends and best practices to identify opportunities for innovation and operational improvements.
Client & Business Partner Engagement
  • Participate in client meetings and operational review discussions as needed.
  • Support customer service and account management teams in addressing client concerns and implementing process improvements.
  • Build and maintain strong relationships with internal stakeholders, vendors, and business partners.
Administrative & Compliance Responsibilities
  • Approve payroll, timekeeping, and departmental administrative activities.
  • Ensure compliance with company policies, client requirements, regulatory guidelines, and operational procedures.
  • Maintain proficiency in relevant systems, applications, and operational platforms.
  • Perform additional duties and special projects as assigned.
Qualifications
  • High school diploma or equivalent required; Bachelor's degree preferred.
  • Previous management experience in title, closing, mortgage, lending, financial services, or related operational environments.
  • Demonstrated ability to lead teams, manage performance, and achieve operational goals.
  • Strong analytical, problem-solving, and decision-making skills.
  • Excellent communication, interpersonal, and customer service abilities.
  • Experience managing multiple priorities in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office applications and operational reporting.
  • Ability to work independently and exercise sound judgment.
  • Willingness to travel as business needs require.
