Overview

The Strategy & Services Division leads long-term corporate planning and provides programs and services that help ElectriCities Members address strategic and operational needs. This includes assessing member needs, identifying service gaps, developing programs, and supporting member engagement through training, conferences, regional meetings, and outreach.  The Member Outreach & Education Department supports the Division's member-focused work by managing programs delivered directly to members to include Member Engagement, Education, and Association Management Services. The ElectriCities Educational Programs team is responsible for coordinating learning opportunities that support member development, employee learning, and structured career pathways.

The Education and Training Coordinator plays a key role in supporting this work by coordinating and executing adult learning programs for members and employees. This position supports Career Development and Apprenticeship Programs and works closely with Educational Programs, Safety & Training, Strategy & Services, internal subject matter experts, education partners, and members, to ensure programs are organized, effective, and aligned with member needs.

Responsibilities
  • Coordinate the delivery of Safety & Training schools, workshops, webinars, and in-house training courses, ensuring all sessions are organized, on schedule, and executed successfully.
  • Manage course preparation and logistics to include class setup, materials preparation, coordination with vendors, instructors, and other stakeholders.
  • Support training classes from start to finish, including registration monitoring, session logistics coordination, learner communications, and completion of post-class activities.
  • Monitor training timelines and key deadlines to ensure all tasks and deliverables are completed on time and programs stay on track.
  • Maintain responsibility for student attendance, grading, record retention, and collection of learner feedback, ensuring all documentation and evaluation data are accurate, complete, and properly maintained within program systems.
  • Prepare, organize, and distribute all student- facing training materials and documentation.
  • Provide customer service and support to members and students, assisting with registration, account needs, invoicing inquiries, and general training-related questions.
  • Coordinate vendor services and support financial processes, including tracking, submitting, and following up on invoices related to facilities, catering, and training materials.
  • Oversee Association Management System (AMS) processes related to meeting setup, student enrollment, training records, and invoicing.
  • Maintain a strong working knowledge of AMS and Learning Management System (LMS) functionality to support course setup, enrollment processes, data accuracy, and overall system utilization.
  • Build and maintain strong relationships with subject matter experts and instructors to support high-quality course delivery.
  • Assist in collecting, organizing, and summarizing evaluation data and learner feedback to support program improvements and decision-making.
  • Support cross-training and professional development activities by collaborating with senior team members and progressively assuming responsibility for program coordination, systems support, and process improvement initiatives.
  • Serve as a champion for the learner experience by supporting continuous improvement of processes, systems, and program communications.
  • Perform other duties as assigned.
Qualifications
  • Bachelor's degree in Education, Organizational Development, Human Resources, Business Administration, or a related field with 3+ years' experience in educational program management; or an equivalent combination of education, training, and experience.
  • Strong organizational and project coordination skills, with the ability to manage multiple programs, tasks, and deadlines simultaneously.
  • Excellent written and verbal communication skills, with the ability to support learner communications and stakeholder interactions effectively.
  • Demonstrated ability to provide high-quality, customer-focused service in a fast-paced, team-oriented environment.
  • Strong attention to detail and accuracy in maintaining records, tracking data, and supporting program documentation.
  • Ability to collaborate effectively with internal teams, subject matter experts, instructors, and external partners.
  • Strong time management, problem-solving, and multitasking skills, with the ability to identify issues and implement practical solutions.
  • Technical proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Teams), Adobe, and database management.
  • Working knowledge of Association Management Systems (AMS), Learning Management Systems (LMS), and virtual training platforms preferred.
  • Demonstrated ability to prioritize work, adapt to changing needs, maintain confidentiality, and support continuous improvement of program delivery and learner experience.
