Job description

Our client is a well-established boutique accounting firm in Edmonton, known for providing personalized service and building strong, long-term relationships with its clients. They are looking for an organized, personable, and detail-oriented Office Administrator to join their team.
 
This is a hands-on role for someone who enjoys being the welcoming face of the office while providing essential administrative support to the accounting team. The successful candidate will be comfortable managing multiple priorities, interacting with clients, and keeping the day-to-day office operations running smoothly.
 
Key Responsibilities
  • Serve as the first point of contact for clients and visitors, providing a professional and welcoming experience.
  • Answer and direct incoming phone calls and respond to general client inquiries.
  • Provide day-to-day administrative support to the accounting team, including preparing, scanning, copying, filing, and organizing documents.
  • Coordinate the collection and distribution of client documents and information.
  • Assist with processing client payments and basic accounts receivable activities.
  • Manage incoming and outgoing mail and courier deliveries.
  • Maintain office supplies and coordinate purchasing as required.
  • Schedule client meetings and assist with coordinating meetings and appointments.
  • Prepare and organize client packages and documentation.
  • Follow up with clients regarding outstanding information or documents.
  • Assist with office events, staff functions, and other activities as required.
  • Support special projects and other administrative tasks as assigned.
  • Help ensure the office remains organized, efficient, and professional.
What We're Looking For
  • 3-4+ years of experience in an office administration, reception, or administrative support role.
  • Previous experience in a professional services environment, particularly accounting or financial services, would be an asset.
  • Excellent communication and interpersonal skills with a strong client-service mindset.
  • Highly organized with strong attention to detail and the ability to manage competing priorities.
  • Professional, approachable, and comfortable interacting with clients in person and over the phone.
  • Strong computer skills, including Microsoft Office and general office technology.
  • Ability to work independently while also being a supportive and collaborative member of a small team.
  • A proactive attitude and willingness to take ownership of responsibilities.
