Job Summary:
The Parts Ordering Specialist is responsible for sourcing, ordering, and managing parts inventory to support a diverse fleet of heavy equipment, on-road trucks, and construction operations including asphalt paving, grading, milling, concrete, and underground utilities. This role is critical to minimizing downtime, ensuring efficient field operations, and maintaining strong vendor partnerships.

Job Duties & Requirements:

Parts Sourcing & Procurement
  • Source and order parts for a wide range of equipment, including:
    • Asphalt paving equipment (pavers, rollers)
    • Milling machines
    • Grading equipment (dozers, graders, skid steers)
    • Concrete equipment and tools
    • Underground/utility equipment
    • Heavy-duty trucks and trailers
  • Identify correct parts quickly using manuals, systems, or vendor support
  • Process purchase orders and ensure timely and accurate ordering

Inventory Management
  • Maintain optimal inventory levels of critical and high-use parts across multiple equipment types
  • Organize and track parts by category (fleet, shop, plant, job-specific, etc.)
  • Monitor stock usage trends and adjust ordering patterns accordingly
  • Conduct periodic inventory counts and reconcile discrepancies

Coordination with Operations & Maintenance
  • Work closely with mechanics, shop supervisors, and field leaders to:
    • Identify urgent and upcoming parts needs
    • Prioritize orders based on operational impact
  • Respond quickly to equipment breakdowns and emergency requests
  • Support planning for seasonal work, large jobs, and shutdown maintenance

Vendor Management & Cost Control
  • Build and maintain strong relationships with multiple vendors across equipment types
  • Compare pricing, availability, and lead times to ensure best value
  • Negotiate pricing where appropriate and identify cost-saving opportunities
  • Track vendor performance (delivery reliability, quality, responsiveness)

Tracking & Documentation
  • Maintain accurate records of:
    • Orders, receipts, and invoices
    • Part numbers and cross-references
    • Vendor information and pricing
  • Ensure proper coding/allocation of parts to jobs, departments, or cost centers

Process Improvement
  • Identify opportunities to:
    • Standardize commonly used parts
    • Reduce duplicate or obsolete inventory
    • Improve ordering efficiency and turnaround time
  • Support implementation of systems (ERP, fleet management, or inventory tools) to streamline workflows

Preferred Education and Experience:
  • Valid driver's license with acceptable driving record
  • Ability to operate pickup trucks or light-duty vehicles safely
  • 2-4+ years experience in parts ordering, inventory, or maintenance support
  • Strong familiarity with heavy equipment and/or diesel truck parts
  • Ability to work in a fast-paced, multi-priority environment
  • Strong organizational and problem-solving skills
  • Proficiency with Excel and/or inventory management systems
  • Mechanical background or ability to interpret parts diagrams
  • Ability to follow instructions, prioritize tasks, and communicate clearly
  • Dependable attendance and willingness to work flexible hours during construction season
