Job description

JOB SUMMARY:
The Administrative Assistant supports daily operations including customer communications, order processing, and coordination of shipping and purchasing functions. This role is ideal for someone organized, detail-oriented, and customer-focused.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Respond to customer inquiries via phone and email
Prepare and submit customer quotations
Generate and process customer orders
Coordinate shipping and receiving activities
Create and submit purchase orders
Maintain accurate records and archives
Assist with audits (e.g., class society documentation)
Provide competitive pricing support
Follows all company policies and procedures
QUALIFICATIONS:
High school diploma or equivalent
1-3 years administrative/customer service experience
Strong communication skills
Proficiency in Microsoft Office (Excel, Outlook, etc.)
Detail-oriented and organized
DESIRED QUALIFICATIONS:
Experience in maritime, warehouse or industrial environment
Experience with order processing or ERP systems
Familiarity with shipping/receiving workflows
