Position Summary

A confidential aerospace company is seeking a Fleet Sustainment & Spares Coordinator to serve as the working-level coordination point for aftermarket parts flow supporting a U.S. military aviation program. Operating between the program's prime representative, third-party logistics (3PL/4PL) provider, and internal supply chain teams, this role ensures efficient spare parts supply and resupply, maintains bench-stock and specified onsite part availability at fleet-appropriate levels, and provides immediate, personalized support for all Aircraft on Ground (AOG) requirements.

This is a hands-on execution role centered on parts and material flow. It does not own customer relationship management, business development, process-improvement initiatives, or contract execution; those responsibilities reside with the Site Manager. Success in this role is measured by parts availability, order accuracy and speed, and responsiveness to AOG needs that keep the aircraft fleet mission-ready.

Essential Job Functions

Aftermarket Parts Coordination

  • Coordinate the daily flow of aftermarket parts among the program's prime representative, 3PL/4PL provider, and internal supply chain.
  • Serve as the working-level point of contact for spare parts supply and resupply for the aircraft fleet.
  • Track part requests from initiation through delivery, keeping appropriate parties informed of status.
  • Reconcile discrepancies in orders, shipments, and receipts across program stakeholders, logistics providers, and internal teams.

Bench-Stock & Onsite Inventory Management

  • Monitor bench-stock levels and initiate resupply to maintain fleet-appropriate stocking levels.
  • Maintain specified onsite part availability to support uninterrupted flight training operations.
  • Conduct routine inventory checks and reconcile onsite stock against established levels.
  • Identify and flag consumption trends or inventory shortfalls that could affect fleet readiness.

Aircraft on Ground (AOG) Support

  • Provide immediate, personalized assistance for all AOG parts requirements.
  • Expedite AOG orders through the program's 3PL/4PL provider, internal supply chain, and associated online ordering systems to minimize aircraft downtime.
  • Coordinate emergency sourcing, shipping, and delivery for critical AOG requirements.
  • Communicate AOG status updates to program stakeholders and the Site Manager through resolution.

Order Processing & Systems

  • Enter, review, and track parts orders in ERP and order management systems, such as Epicor.
  • Maintain accurate part numbers, quantities, and delivery data within applicable systems.
  • Coordinate lead times and delivery schedules with Operations and third-party logistics providers.
  • Maintain accurate records of transactions, shipments, receipts, and inventory activities.

Coordination & Reporting

  • Work closely with Supply Chain, Logistics, and Technical Support teams regarding parts availability.
  • Escalate supply issues that could affect fleet readiness to the Site Manager.
  • Track and report parts fill rates, backlog, inventory status, and AOG response metrics.
  • Provide the Site Manager with parts-related data to support customer and program reviews.

Required Qualifications

  • High school diploma or GED required; Associate's or Bachelor's degree is a plus.
  • Minimum of 4+ years of experience in parts coordination, supply chain, logistics, inventory management, or order processing.
  • Familiarity with ERP or order management systems, such as Epicor, and inventory tracking tools.
  • Strong organizational skills, attention to detail, and ability to maintain accurate parts and inventory records.
  • Ability to respond urgently to AOG and other time-critical parts requirements.
  • Strong written and verbal communication skills with an emphasis on speed and accuracy.
  • Proficiency with Microsoft Office, including Word, Excel, and PowerPoint.
  • Ability to work onsite in Alabama. Work hours are assigned based on business needs Monday through Friday; occasional weekend work may be required based on AOG and operational demands.
  • Ability to travel as required.
  • U.S. Citizenship required.

Preferred Qualifications

  • Experience with aviation parts, aircraft spares, or aftermarket parts coordination.
  • Experience coordinating with 3PL/4PL logistics providers.
  • Aircraft or aerospace inventory management experience.
  • Experience supporting Department of Defense, Federal Government, military aviation, or aerospace customers.
  • Experience with AOG parts coordination and expedited shipping.
  • Experience managing bench-stock or onsite spare parts inventories.
  • Epicor ERP experience.
