Job description

Position Summary


A well-established organization is seeking an Order Administrator to join its team in Charlotte, NC. The Order Administrator is responsible for processing customer orders, reviewing purchase orders, entering and maintaining order information within SAP S/4HANA, and providing responsive customer service to internal and external customers.

The successful candidate will have strong attention to detail, excellent organizational and communication skills, and experience working with ERP systems in a high-volume order processing, retail, or customer service environment.


Essential Duties and Responsibilities

  • Review customer purchase orders for accuracy and completeness.
  • Enter and process customer orders in SAP S/4HANA.
  • Maintain appropriate tables and information related to Electronic Data Interchange (EDI) orders.
  • Monitor EDI transactions and ensure customer orders are properly released into SAP.
  • Review and follow customer-specific shipping requirements.
  • Respond to phone and email inquiries from customers and sales representatives.
  • Provide information regarding order status, product availability, and shipping status.
  • Maintain customer master data and special pricing within SAP.
  • Resolve order-related issues, including lost shipments, shipping errors, billing discrepancies, customer errors, and complaints.
  • Process customer returns, including defective products and stock rotations.
  • Prepare and distribute required reports and documentation, including open-order reports, sales reports, shipping documentation, and delivery-related forms.
  • Prioritize responsibilities effectively based on changing daily order volumes and business needs.
  • Communicate professionally and positively with internal and external customers.
  • Collaborate with team members to achieve departmental goals.
  • Perform other related duties as assigned.


Qualifications

  • Associate degree with related coursework and 2–3 years of relevant experience, or an equivalent combination of education, training, and experience.
  • Previous experience with order entry, order administration, retail customer support, or a similar high-volume transactional environment.
  • Experience working within an ERP system required; SAP S/4HANA experience preferred.
  • Proficiency with Microsoft Office, particularly Word and Excel.
  • Excellent attention to detail and organizational skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and adjust to fluctuations in workload.
  • Ability to work effectively both independently and as part of a team.


Preferred Qualifications

  • Experience with Electronic Data Interchange (EDI).
  • Experience with import/export processes and documentation.
  • Experience preparing shipping documentation.
  • Retail customer support experience.
  • Bilingual English/Spanish skills are desirable but not required.


Work Environment

This position is based in a typical professional, environmentally controlled office setting with a generally moderate to low noise level. This is a full-time, on-site position.

Physical Requirements

While performing the duties of this position, the employee is regularly required to sit, use a computer, reach with hands and arms, and communicate verbally. The employee may occasionally be required to stand, walk, and lift or move items weighing up to 10 pounds. Specific vision abilities include close vision and the ability to adjust focus.
