Position Description: Order Fulfillment Specialist 

The Order Fulfillment Specialist is a hands-on, hourly role responsible for managing and executing all aftermarket, spare parts, and warranty order fulfillment activities from order release through pick, pack, and shipment. This position ensures orders are fulfilled accurately, completely, and on time across a multi-site warehouse environment. Reliable and accurate order fulfillment is critical to customer satisfaction and operational performance. The Order Fulfillment Specialist plays a key role in ensuring orders are executed efficiently, issues are resolved quickly, and processes are continuously improved.

Requirements

Primary Duties:

Own the end-to-end fulfillment process for aftermarket, spare, and warranty orders from release through shipment 

Review released orders and translates requirements into actionable picking and fulfillment plans 

Prioritize orders based on urgency, customer needs, and operational constraints 

Track and manage order progress, ensuring timely completion 

Read, interpret, and validate Bills of Materials (BOMs) to determine required components and quantities 

Break down BOMs into clear pick lists for warehouse execution 

Identify discrepancies, missing components, or unclear requirements within BOMs 

Work cross-functionally to resolve BOM-related issues prior to or during fulfillment 

Validate material availability prior to and during order fulfillment 

Identify shortages, discrepancies, or incorrect inventory and escalate as needed 

Coordinate with Inventory, Procurement, and Production teams to resolve material gaps 

Support root cause identification for recurring shortages or fulfillment issues 

Coordinate and/or support picking and packing activities to ensure accuracy and completeness 

Verify picked materials align with order and BOM requirements 

Ensure proper packaging, labeling, and documentation for all outbound shipments 

Coordinate shipment readiness and handoff with internal teams or carriers 

Maintain accurate and up-to-date order status in Google Sheets, ERP (Microsoft Business Central), or other tracking tools 

Record and verify fulfillment transactions (pick, transfer, shipment) 

Utilize spreadsheets, scanning tools, and system data to track and manage order progress 

Act as the primary point of contact for fulfillment-related questions and updates 

Communicate order status, delays, and risks to internal stakeholders 

Escalate urgent issues (shortages, delays, errors) in a timely manner 

Coordinate across multiple sites to ensure alignment and execution 

Identify inefficiencies in fulfillment workflows and recommend improvements 

Support implementation of new systems, tools, and standardized processes 

Help improve accuracy, speed, and visibility across fulfillment operations


Experience & Skills:

3-5 years of experience in warehouse, logistics, order fulfillment, or materials operations

Proven experience managing or coordinating end-to-end order fulfillment (release ? pick ? ship)

Strong ability to read, interpret, and execute against Bills of Materials (BOMs)

Experience working with inventory systems or ERP platforms (transactional understanding of picks, transfers, shipments)

Advanced working knowledge of Excel or Google Sheets (filters, lookups, basic analysis, tracking tools)

Demonstrated ability to prioritize and manage multiple orders simultaneously in a fast-paced environment

Strong attention to detail with a track record of high accuracy in execution

Ability to identify issues proactively (shortages, discrepancies, delays) and drive resolution

Effective communication skills with experience coordinating across warehouse, procurement, and operations teams


Preferred:

Experience with Microsoft Dynamics 365 Business Central (BC) or similar ERP systems

Experience in a manufacturing or high-mix, low-volume environment

Familiarity with multi-site material flows and intercompany transfers

Experience using barcode scanning systems or WMS tools

Exposure to aftermarket, spare parts, or warranty order fulfillment

Experience supporting or improving fulfillment processes, workflows, or system implementations


Education:

High school diploma or equivalent
