Job description

We are seeking a detail-oriented and highly organized Order Entry Specialist to support our fast-paced manufacturing and distribution operations. This role is responsible for accurately processing customer orders, verifying product and pricing information, coordinating with multiple departments, and ensuring all order details are complete to support successful production and delivery.


The Order Entry Specialist plays a critical role in maintaining operational accuracy, supporting customer satisfaction, and helping ensure orders move efficiently from entry through fulfillment. This position requires strong attention to detail, communication skills, and the ability to manage multiple priorities in a high-volume environment.


Responsibilities include but are not limited to:


Order Processing & Accuracy

  • Accurately enter customer purchase orders, sales orders, quotes, and revisions into internal systems.
  • Review orders for completeness, correct pricing, product specifications, shipping requirements, and accuracy before processing.
  • Verify customer information, item numbers, quantities, freight terms, and special instructions.
  • Ensure all order documentation is properly attached and maintained within company systems.


Custom Order & Production Support

  • Generate detailed production sheets for custom orders, including specifications such as:
  • Materials
  • Sizes and dimensions
  • Colors
  • Quantities
  • SKU numbers
  • Logos/artwork requirements
  • Special production or packaging instructions
  • Coordinate closely with Graphics, Production, and Warehouse teams to ensure custom orders are clearly communicated and produced accurately.


Cross-Department Coordination

  • Collaborate with Sales, Customer Service, Graphics, Purchasing, Production, and Warehouse teams to support smooth order flow and timely fulfillment.


Shipping & Logistics Coordination

  • Ensure freight and truck shipment orders include complete and accurate delivery information, including:
  • Forklift requirements
  • Loading dock availability
  • Delivery appointments
  • Contact phone numbers
  • Freight carrier instructions
  • Special delivery requirements
  • Coordinate with internal teams and shipping partners to support successful deliveries.


Customer & Sales Support

  • Assist with customer inquiries related to order changes and cancellations.
  • Support Sales Representatives with order-related questions and documentation.
  • Maintain professionalism and responsiveness when communicating with internal teams.


Continuous Improvement

  • Identify and communicate process improvement opportunities that increase efficiency and reduce errors.
  • Support company initiatives focused on operational excellence, teamwork, and customer satisfaction.


Qualifications & Skills


Required Skills

  • Strong data entry and computer skills with a high level of accuracy and attention to detail.
  • Ability to process returns
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong verbal and written communication skills.
  • Excellent organizational and problem-solving abilities.
  • Ability to work independently while also collaborating effectively with cross-functional teams.
  • Proficiency in Microsoft Office, particularly Outlook and Excel.
  • Experience using ERP, order management, or inventory systems preferred.
  • Ability to quickly learn company software and internal systems.
  • Previous experience in order entry, customer service, manufacturing, distribution, or logistics environments preferred.
  • Experience supporting custom manufacturing or warehouse operations is a plus.
  • High school diploma or equivalent required.
