Job Overview: (NOTE: This is a Part-Time position with potential of Full-Time availability)

We are seeking an outgoing, detail-oriented Front Desk Assistant to join our healthcare team at our Frederick, MD location. This role plays a key part in creating a welcoming and organized experience for our clients, with a primary focus on new patient coordination, intake, and ensuring a smooth transition into care.

The Front Desk Assistant will serve as an important first point of contact for new clients, helping to guide them through the intake process, collect and organize necessary information, coordinate appointments, and ensure that all required documentation is completed accurately and efficiently. This position will also support the day-to-day operations of the practice and assist our Providers by helping ensure they have the information and administrative support needed to focus on client care.

The ideal candidate will be outgoing, organized, detail-oriented, and comfortable communicating with new clients. Strong interpersonal and communication skills, attention to detail, and the ability to collaborate effectively as part of a healthcare team are essential.

**Responsibilities:**

Patient Interaction and Communication:

  • Greeting patients: Serving as the first point of contact and welcoming patients upon arrival.
  • Collecting patient information: Gathering necessary details like insurance information and medical history.
  • Addressing patient inquiries: Answering questions in person or over the phone.
  • Explaining processes: Helping patients understand billing or consent forms.

Scheduling and Appointments:

  • Coordinating appointments: Scheduling and managing patient appointments.
  • Managing cancellations and rescheduling: Handling changes to appointments.
  • Optimizing schedules: Ensuring efficient scheduling for healthcare providers.

Administrative Duties:

  • Managing patient records: Maintaining and updating patient records, including electronic health records (EHRs).
  • Ordering supplies: Maintaining inventory and ordering medical and office supplies.
  • Ensuring compliance: Maintaining compliance with healthcare regulations like HIPAA.

Qualifications

  • Minimum of 2 years of experience in medical office environment.
  • Knowledge of medical terminology, specifically to the Mental Health Field.
  • Communication skills: Effectively communicating with patients, families, and colleagues.
  • Organizational skills: Multitasking and prioritizing tasks in a busy environment.
  • Technical proficiency: Familiarity with healthcare software and basic computer skills, including Microsoft Office 365.
  • Attention to detail: Ensuring accuracy in all administrative tasks.
