About the role

Opkey is seeking an organized, proactive Office Manager & Legal Administrative Assistant to join our team in our main office in Pittsburgh, PA. In this role, you will be the operational backbone of our office - keeping day-to-day functions running smoothly while providing essential administrative support to our legal and HR teams. Our Pittsburgh office hosts our Direct Sales team where our primary focus is on closing deals quickly. You'll work directly under our Senior Corporate Counsel and HR Manager in a fast-paced tech environment where no two days look the same. This is a full-time, on-site position for an outgoing person who takes initiative, works well independently, and brings a positive, easy-going presence to the team.


Key responsibilities

  • Manage day-to-day office operations including supply inventory, workspace organization, and vendor coordination
  • Main point of contact for our shared office lessor, Industrious
  • Maintain a positive, organized, and welcoming office environment for employees, visitors, candidates, and partners
  • Book and coordinate conference rooms and arrange catering and lunches for internal and external meetings
  • Plan and support team events, lunches, celebrations, onboarding, and culture-building activities
  • Conduct initial review of NDAs and support light legal document preparation under attorney supervision
  • Organize, maintain, and upload contracts into legal management software, ensuring accurate and up-to-date records
  • Send, track, and manage DocuSign agreements on behalf of the legal team
  • Provide occasional administrative support to the HR Manager, including help with HR admin tasks and documentation
  • Work with HR and leadership on employee engagement, internal communications, and company culture initiatives
  • Serve as a reliable point of contact for office-wide operational needs and cross-functional requests for sales, legal, HR, and executive teams
  • Take on additional tasks as needed in support of a growing, fast-moving organization

Required qualifications

  • 2+ years of experience in an office management, legal administrative, or executive assistant role
  • Demonstrated ability to work independently and manage competing priorities without close supervision
  • Strong organizational skills with meticulous attention to detail
  • Comfort handling confidential information with discretion and professionalism
  • Excellent written and verbal communication skills
  • Proficiency with standard office and scheduling tools (Google Workspace, Microsoft 365, or equivalent)
  • Experience with DocuSign or similar e-signature platforms

Preferred qualifications

  • Prior experience supporting an executive, legal team, and/or sales environment
  • Familiarity with contract lifecycle management or legal operations software
  • Experience supporting HR administrative functions
  • Background in a high-growth technology company or startup environment
  • Associate's or Bachelor's degree in business administration, paralegal studies, or a related field
