Operations Support Specialist

KODA Technologies is a growing government contractor supporting national-priority missions across missile defense, hypersonics, space, and other critical defense programs. We are committed to creating a people-first culture where trust, integrity, teamwork, and excellence guide everything we do.

We are seeking an organized, proactive, and personable Operations Support Specialist to support day-to-day office operations, company events, and the KODA leadership and Operations teams. This position is ideal for someone who takes pride in creating a welcoming workplace and can effectively manage multiple priorities while providing exceptional customer service.

What You'll Do

  • Serve as the primary front desk point of contact for visitors, guests, and team members, creating a welcoming and professional experience.
  • Answer, screen, and take messages for main incoming telephone calls.
  • Assist with planning, scheduling, and logistical coordination for company events and activities.
  • Support team members with travel requests and expense reports in Unanet and provide guidance on booking travel through Concur.
  • Coordinate meetings and arrange catering for Leadership and Operations teams.
  • Schedule and coordinate candidate interviews, ensuring a seamless experience for candidates and interview teams.
  • Purchase and maintain inventory of office snacks, supplies, and other workplace essentials.
  • Assist accounting with credit card reconciliation or organization
  • Ensure hot desks are properly set up, organized, and available for team member use.
  • Prepare briefing materials and provide logistical and basic IT setup support for meetings, presentations, and company events.
  • Support KODA Cares initiatives by coordinating activities, check pickups, and other related logistics.
  • Coordinate Lunch & Learn (L&L) events, including food orders, conference room setup, and post-event cleanup.
  • Submit, monitor, and follow up on facility maintenance requests, including HVAC issues, window leaks, and other office-related concerns. May escort workers in facility for maintenance.
  • Executive admin support and security-related tasks as needed.
  • Provide general administrative and operational support to the KODA team as needed.

What You'll Bring

  • 1+ years of experience in an administrative, office coordination, operations, or similar support role.
  • Excellent organizational and time-management skills with strong attention to detail.
  • Ability to manage multiple priorities and deadlines.
  • Professional, friendly, and customer-service-oriented approach when interacting with employees, customers, candidates, visitors, and external partners.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Some experience with Adobe or Canva.
  • Ability to learn and navigate business systems and software, such as Unanet, Applicant Pro, and Concur.
  • Capable of taking initiative and working independently.
  • Ability to handle confidential and sensitive information with discretion.
  • Capable to work collaboratively with employees at all levels of the organization.
