Job description

Position Overview:

The Safety Administrator assists the Safety Department with organizing safety-related meetings, coordinating audits and inspections, tracking corrective actions, maintaining safety documentation, and supporting incident reporting and claims management. This on-site position requires strong attention to detail and the ability to assist with compliance efforts, employee training records, and various safety initiatives to support a strong safety culture throughout the organization.

Key Responsibilities
  • Coordination of Company-wide claims related to Workman’s Comp, General Liability, and Marine.
  • Work with internal personnel and third-party administrators/legal counsel, work with management to effectively investigate and resolve claims in an expeditious and cost-effective manner.
  • Maintain all safety related documentation, including incident logs, inspection logs, and safety statistics.
  • Support the filing, tracking, and review of incident reports, ensuring records are accurate and up to date.
  • Help compile and distribute annual OSHA logs.
  • Assist in the coordination of the Annual Safety Meeting and employee training with Division Safety Officers.
  • Maintain all employee safety training records, including OSHA 10 and OSHA 30 at time of hire or advancement.
  • Track “New Team Member” orientation program progress.
  • Maintain an inventory of PPE at the main office for new hire safety orientation and distribute items as needed.
  • Create name hardhat labels for all new hires
  • Help prepare and distribute annual toolbox talk books and safety huddle books, ensuring inventory is maintained throughout the year.
  • Participate in the annual review of the Safety Manual with Safety Department Team.
  • Help monitor compliance with the Safety Program by reviewing weekly toolbox talks and project safety inspections.
  • Work with Divisional Safety Leaders to Ensure corrective actions from safety audits are completed and documented within the recommended time frame.
  • Assist in reviewing and tracking of the company Dash Camera Alerts.
  • Maintain the monthly agenda for Safety Committee meeting and take meeting minutes, distribute as needed. Maintain the monthly Safety Committee meeting agenda, take meeting minutes, and distribute as needed.
  • Submit quarterly MSHA hours reporting and help maintain required MSHA documentation for mining operations.
  • Send out and maintain Subcontractor safety information, including Safety Prequalification Packages for potential Clients/Projects. Distribute to Safety Team for review.
  • Assist with coordinating pre-employment, random and post-accident drug and alcohol testing
  • Assist with coordinating annual and pre/post job medical fit testing (hearing, respiratory and HAZCOM)
Experience/Education:
  • High school diploma is required.
  • Previous experience in safety administration or a related field preferred.
  • Basic knowledge of OSHA, MSHA, DOT, and other safety regulations is a plus.
Qualifications & Requirements:
  • Strong organizational and prioritizing skills; with a high level of attention to detail
  • Ability to multi-task
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and safety management software.
  • Efficient verbal and written communication
  • Accurate data entry and accurate calculation of mathematical problems
  • Higher level, complex analysis and interpretation required for problem solving
  • Ability to foster collaboration between teams and divisions
  • Independent judgment required using existing guidelines to determine work methods
  • Knowledge of internet research
