SUMMARY
The Lock Box Operations Program Associate I will provide deposit processing operation services to First Interstate Bank Lock Box by supporting the Treasury Management and Business Development teams in their efforts to provide accurate, prompt, and courteous service to their customers regarding their Deposit Accounts as well as Research & Returns and Mailroom support tasks. This position will facilitate customer satisfaction and retention by successfully handling and processing customer Post Office Box payments, to include resolving any issues or inquiries.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Works with clients and third-party vendors to familiarize new businesses with Lock Box procedures and online resources.
  • Maintains accurate business and customer data.
  • Assists in the setup of new business profiles in the bank's processing system.
  • Understands and processes multiple types of transactions in a fast-paced environment.
  • Ensures operations completes daily uploads of all invoices and credit memos to Navigator.
  • Opens, extracts, and processes remittance payments for Lock Box clients.
  • Performs accurate, and timely, input/keying of required data fields (date/payee/amount) on client remittance transactions in accordance with department procedures/guidelines.
  • Processes transactions in accordance with each clients' account's specified handling instructions.
  • Processes client payments involved with electronic Protected Health Information (ePHI), Protected Health Information (PHI), and adhere to organization's policies and procedures including the bank's Health Insurance Portability and Accountability (HIPAA) policy.
  • Performs duties with respect to confidentiality of client information and maintain current knowledge of applicable ePHI/PHI and HIPAA requirements.
  • Processes and understands multiple types of inquiries in a professional, fast-paced, and high traffic environment.
  • Exercises discretion, strong interpersonal skills, and independent judgment.
  • Cross-trains and learns other functions within the department and other areas of operations as needed.
  • Identifies possible risks and fraudulent activities to both customers and the bank.
  • Ensures the First Interstate's accounting system is in balance daily.
  • Provides quality customer service, including responding to customer inquiries, troubleshooting, and resolving issues in a timely manner.
  • Acts as trusted resource for internal customers.
  • Partners with team members on process improvement for department initiatives.

  • Maintain a working knowledge of the bank Lock Box and/or Asset Based Lending services and demonstrate sound judgment and decision-making skills.
  • Possess a strong attention to detail and a high level of accuracy while maintaining excellent client service to internal and external clients.
  • Work effectively in team environment and promote actively listening, eliciting information, comprehending individual issues/needs, and recommending solutions.
  • Ability to navigate multiple computer systems, applications, and utilize search tools to find information.
  • Ability to gain working knowledge and understanding of principles, procedures, requirements, regulations, and policies related to assigned area, as well as the Bank's policies, procedures, products, and services.
  • Ability to work independently, proactively, innovatively, and creatively while exercising sound judgement.

EDUCATION AND/OR EXPERIENCE
  • High School Diploma or General Education Degree (GED) required
  • Bachelor's Degree preferred
  • 1-3 years related experience, training, and/or equivalent combination of education and experience required
