Job Description: Operations Administrator
Title: Operations Administrator - Full-Time Position
Reports To: Operations Manager
Location: Corunna, ON


Summary


Under direction of the Operations Manager, the Operations Administrator is responsible primarily for the day-to-day operational administration of the branch. Primary duties involve customer and supplier reception at the facility, payroll, invoicing and other duties, as outlined below.

Qualifications
Business administration diploma, certificate or equivalent experience.
Minimum of 1-2 years of administrative experience.
Excellent communication skills and the ability to work independently and in a team environment
Ability to maintain high levels of customer service and problem solving
Strong organizational and multitasking skills
Proficiency with MS Office and Google Workspace
Outstanding attention to detail
Must be able to learn new applications quickly and efficiently
Great work ethic
Experience with invoicing and payroll duties are an asset.

Job Duties
Perform work in a safe manner, so as not to endanger oneself or others.
Professionally greet and communicate with all clients, both in person and on the phone.
Process timesheets and work with the Payroll department to ensure all employees are compensated accurately and on time.
Complete invoices accurately and ensure that required month end timelines are met.
Assist in uploading invoices to client portals.
Provide daily administrative support and document control to the Operations Manager. Some examples include:

o Processing and tracking per diems, petty cash, and employee expenses
o Maintain filing systems
o Tracking and supporting fuel card program
o Prepare purchase orders and assist with ordering supplies.
o Coordinate outgoing and incoming mail, faxes and couriers
o General housekeeping.
o General office duties as assigned
Liaise with various departments, customers and team members regarding administrative
matters.
Support customer requests, maintain accounts and provide statements/tracking reports, as required.
Follow up and investigate required and/or missing job documentation.
Follow all established organizational policies and procedures.
Support the vision and values of the organization.
Assist in planning and organizing employee events and activities
Participate in team/staff meetings when required.
Perform other duties as assigned.
