Job Title: Operations Manager / Director of Operations

Collaborates Closely With: Operations Manager

Job Summary

 

We are seeking an organized, proactive, and systems-driven Operations Manager to oversee the day-to-day, non-clinical business operations of our autism treatment center. In this role, you will be the "backbone" of the center, managing human resources, client scheduling, billing coordination, facilities, and general administration.

By keeping the business running seamlessly, you will allow our Clinical Director and therapy team to focus entirely on delivering high-quality client care.

 

Key Responsibilities

  • Daily Center Operations: Maintain a clean, safe, fully stocked, and welcoming physical environment for staff, children, and families. Manage vendor relationships (cleaning, IT, maintenance).
  • Scheduling & Capacity Management: Oversee the master schedule to match client authorizations with therapist availability. Maximize center utilization while minimizing scheduling gaps or cancellations.
  • Billing & Intake Coordination: Partner with our billing department/vendor to audit session logs, verify insurance authorizations, handle client intake documentation, and resolve basic billing or copay inquiries with families.
  • Human Resources & Onboarding: Manage local HR processes including staff attendance tracking, payroll processing assistance, maintaining employee files, and coordinating the onboarding/background checks for new hires.
  • Compliance & Safety: Ensure the facility complies with all local healthcare, safety, and labor regulations. Maintain emergency preparedness plans and incident reporting logs.

 

Qualifications & Experience

  • Experience: 3+ years of operations management or practice management experience, preferably in a healthcare, therapy, or childcare setting (ABA, speech, or occupational therapy center experience is a massive plus).
  • Skills: Exceptional organization, proficiency with scheduling/practice management software and a strong comfort level navigating insurance authorizations or medical billing.
  • Education: Bachelor’s degree in Business Administration, Healthcare Management, or a related field (or equivalent practical experience).
  • Core Traits: A problem-solver who thrives in a fast-paced environment and possesses high empathy when interacting with parents and staff.

  • Salary Range: $65,000 - 110,000] per year (Dependent on experience)
