Facilities Operations Manager - Position Overview:
  • The Facilities Operations Manager is responsible for the organization, direction, and daily operation of the maintenance and housekeeping activities utilized throughout the organization.
  • In this role, the Facilities Operations Manager will ensure the upkeep, safety, and cleanliness of all buildings. The Facilities Operations Manager will maintain compliance with applicable regulatory, organizational requirements, including Joint Commission (JC), Center for Medicaid Services (CMS), Environmental Protection Organization (EPA), State and Local agencies, The Occupational Safety and Health Administration (OSHA), etc.
  • The Facilities Operations Manager is responsible for supervising the housekeeping and maintenance staff and all contractors, including construction and landscaping.
  • The Facilities Operations Manager will oversee modification plans and repair activities and report operating costs to the Statewide Director of Facilities for approvals.
  • The Facilities Operations Manager must demonstrate leadership and a positive working relationship with all staff. They will assist in developing staff to maximize productivity and effectiveness and be committed to the ongoing pursuit of excellence in service quality.

Job Responsibilities:
  • Establish preventive and corrective maintenance schedules and prioritize reports and maintenance work to minimize disruption of Canopy's operations.
  • Create preventative maintenance detailed work instructions including tasks, time, tools and materials required.
  • Monitor the maintenance software-based work order tracking system and assign tickets to technicians.
  • Perform inspections to ensure conformance with established standards and regulations.
  • Plan and prepare employee work schedules.
  • Select new equipment, tools, and supplies needed for the housekeeping and maintenance teams.
  • Oversee the inventory stock to ensure that supplies and equipment are available in adequate amounts; ensure that all solutions/departments have adequate reserves for efficient operations.
  • Coordinate maintenance activities with solution leaders to ensure that services are provided in a manner that considers program scheduling.
  • Coordinate the maintenance and repairs of all fleet/vehicles.
  • Assist with maintenance duties as necessary to model best practices and/or to provide emergency back-up.
  • Assist in safety training and emergency drill scheduling and tracking.
  • Interview job applicants and potential contract workers to make hiring decisions. Provide orientation to new employees and contractors on specific content related to job duties and policies.
  • Manage service requests and issues with equipment and take corrective action.
  • Maintain working conditions and use of equipment to increase efficiency, safety, and productivity.
  • Maintain required records of work and approve timesheets on a biweekly basis.
  • Participate in organizational quality improvement processes.
  • Assist with the development of contracts involving maintenance services.
  • Maintain good working relationships with maintenance and supplies vendors, building management, and lessors.
  • Schedule, manage, and provide back-up for 24-hour emergency on-call system.
  • Monitor service vendors efforts (outsourced cleaning companies, etc.) and provide necessary follow-up and action.
  • Meet annual competency and retraining requirements and ensure that staff meets these requirements.
  • Available for on-call emergencies, 24 hours a day.
  • Other duties as assigned.

Required Qualifications:
  • Bachelor's degree or equivalent from a technical school preferred with four (4) years' or more related experience or training in the plant/facilities operations field, preferably a hospital/educational/residential care facility.
  • Knowledge of Joint Commission accreditation, federal and state laws and regulations, and state organization licensure/certification standards and experience in a behavioral health care setting is preferred.
  • Data collection and analysis, computer proficiency, as well as excellent written and verbal communication skills are required.
  • Ability to travel is required. Skilled and knowledgeable in maintenance, i.e., HVAC, plumbing, painting, etc., and must be willing to be hands-on when necessary. Must be a team player with excellent supervisory, planning, and organizational skills.
