Business Operations Specialist

Grand Rapids Iron & Metal

Grand Rapids Iron & Metal is seeking a highly motivated and hands-on Business Operations Specialist  to support  daily office operations, transportation, customer service, and administrative functions within our recycling operations.

This role is responsible for helping drive efficiency, accountability, communication, and execution across multiple business functions. The ideal candidate is a strong communicator, organized problem-solver, and dependable who thrives in a fast-paced industrial environment.

This position works closely with operations, transportation, warehouse personnel, maintenance, accounting, and leadership teams to ensure the smooth flow of information, materials, customers, and documentation throughout the organization.

Key Responsibilities

Operations & Logistics Coordination

  • Oversee inbound and outbound scale operations and transaction accuracy

  • Coordinate communication between drivers, customers, dispatchers, warehouse personnel, and leadership

  • Ensure transportation, shipping, receiving, and logistics documentation is completed accurately

  • Monitor logistics activity, transportation schedules, and operational tracking systems

  • Support inventory adjustments, material tracking, and operational reporting

  • Troubleshoot operational issues and help drive timely resolution

Customer & Vendor Management

  • Serve as a primary point of contact for customers, vendors, and transportation partners

  • Ensure high-quality customer service and professional communication

  • Assist with service coordination, issue resolution, and relationship management

  • Support vendor setup, account maintenance, and support management within ERP systems

Administrative & Financial Support

  • Accounts payable and accounts receivable support activities

  • Ensure accurate invoice processing, collections support, and operational paperwork flow

  • Maintain customer and vendor records within ERP and operational systems

  • Assist with operational reporting, data management, and document accuracy

  • Partner with accounting and leadership teams to improve administrative workflows and controls

Systems, Projects & Continuous Improvement

  • Support and improve ERP systems, logistics tracking tools, and operational reporting processes

  • Assist maintenance and operations teams with equipment software tracking and documentation

  • Participate in process improvement initiatives across departments

  • Identify operational inefficiencies and implement practical solutions

  • Partner with leadership on special projects, growth initiatives, and strategic improvements

Qualifications

  • 5+ years of experience in operations support, logistics coordination, transportation, customer service, or administrative roles

  • Strong understanding of transportation, inventory, logistics, and operational workflows

  • Experience with accounts payable and accounts receivable processes

  • Proficiency with ERP systems, Microsoft Word, Excel, and operational software platforms

  • Excellent communication, leadership, organizational, and problem-solving skills

  • Ability to prioritize multiple responsibilities in a fast-paced industrial environment

  • High level of accountability, professionalism, and attention to detail

  • Associate degree or equivalent work experience preferred
