Position Title:                   Operations Support, Emerging Talent Intern

Hourly Rate:                   $19.00 (Undergraduate), $21.00 (Graduate)

All internship positions are onsite and require regular, in-person attendance at the designated work location.

OVERVIEW OF DEPARTMENT:

The primary responsibility of Staten Island Railways Operations Support department is to ensure that the business runs smoothly, effectively, and professionally. Operations Support oversees several areas within SIR, such as Employee Services, Timekeeping, Finance, Policy Compliance, Training and General Office. In addition, Operations Support works closely with Operational Departments such as the Maintenance of Way Department and the Non-Revenue Shop, which plays a critical role in maintaining the safety and efficiency of railroad operations. The incumbent will assist in a variety of administrative and operational support functions, contributing to cross-departmental coordination, inventory tracking, documentation, and analysis of operations data for submission to executive managers.

The Operations Support & Field Operations intern will be involved in all areas that Operations Support Oversees. The Incumbent will assist in, Improving Employee Record Management, develop, manage databases related to training, injury, disciplinary history. 

RESPONSIBILITIES:

  • Maintain all departmental electronic and paper files.
  • Creating a program that will allow SIR Finance to report financial analyses to MTA Stakeholders in a visual and analytical platform.
  • Update records in PeopleSoft/Enterprise Learning Management system.
  • Assist in testing internal controls and System Safety compliance.
  • Create and maintain databases for records management.
  • Schedule interviews with candidates.
  • Gather and organize pertinent documents.
  • Provide suitable recommendations to improve our processes.
  • General office duties including, but not limited to, research, data entry, filing, scanning and general coordination.

PROJECTS:

  • Records & Database Management: Maintain and update electronic and paper records, manage databases related to training, injuries, and disciplinary history, and assist in audits to ensure accuracy and compliance with organizational policies.
  • Process Improvement & Compliance: Assist in streamlining departmental processes, enhancing efficiency in employee record management, and supporting internal controls, system safety compliance, and policy adherence.
  • Technical & Communication Expertise: Possess strong oral and written communication skills, proficiency in Microsoft Office Suite (Word, Excel, SharePoint, Power BI), and familiarity with PeopleSoft (training provided)
  • Creating a program that will allow SIR Timekeeping to report timekeeping analyses such as absence patterns to prevent time and attendance fraud and abuse.

REQUIRED QUALIFICATIONS:

  • Proficiency in Microsoft Office Suite is a must.
  • The candidate should possess organizational, analytical and communication skills. 
  • The candidate should be able to work well under pressure and prioritize tasks effectively.
  • The candidate should have a keen eye for detail and be able to work independently while being an active team player.

REQUIRED EDUCATION:

  • Matriculated in an undergraduate program in good standing with at least 2.5 GPA AND/OR matriculated in a graduate program in good standing with at least 2.8 GPA
  • Major(s) Preferred: Business Administration/Management, Human Resources, Computer Science/Information Systems, Communications, Transportation, Accounting, or related field.
