Impact

The Operations Intern will support key initiatives within the Deposit Services Department through project-based assignments and administrative assistance. This role provides hands-on exposure to banking operations, document management, records administration, and operational processes while contributing to the Bank's ongoing digitization efforts and process improvements.

This internship is designed to provide practical experience in a regulated financial services environment, offering opportunities to develop foundational knowledge of operational workflows, records management, data integrity, and compliance requirements.

Responsibilities

This role supports the Bank's strategic objectives by contributing to accurate organization, maintenance, and digitization of operational records. Through strong attention to detail and effective coordination, the intern helps improve document accessibility, supports operational efficiency, and reinforces adherence to internal policies and regulatory requirements. In doing so, the role contributes to enhanced record management practices, improved data accessibility, and the successful completion of departmental initiatives.

Essential Functions

1. Support the Bank's document digitization initiative by organizing, scanning, indexing, and uploading IRA, legal, and account-related documentation into the DocuWare system.

2. Assist with document classification and indexing to ensure records are properly categorized and easily retrievable within DocuWare.

3. Maintain organized file inventories and tracking logs to monitor document processing and project progress.

4. Verify that digitized records are accurately uploaded and aligned with established document management standards.

5. Assist in identifying and resolving document discrepancies, missing information, or indexing errors, escalating issues as appropriate.

6. Support records retention and document management practices in accordance with Bank policies and applicable regulatory requirements.

7. Coordinate with Deposit Services team members to obtain, organize, and process required documentation.

8. Assist with quality control reviews to ensure the accuracy, integrity, and accessibility of digitized records.

9. Participate in process improvement initiatives by identifying opportunities to enhance efficiency and effectiveness within document management workflows.

10. Complete assigned project work and, where applicable, provide feedback or recommendations to support operational improvements.

11. Provide administrative and operational support across departmental projects and day-to day activities, as assigned.

12. Maintain strict confidentiality of customer and Bank information in accordance with data privacy, security, and record retention standards.

13. Adhere to all internal policies, procedures, and regulatory requirements, while handling sensitive customer documentation.

14. Collaborate with team members to support workflow coordination and maximize productivity throughout the project lifecycle.

Ancillary Functions

  • Ensure ongoing adherence to Bank policies and procedures, as well as applicable federal and state regulatory requirements.
  • Provide cross-functional support to other departments within the Bank when service needs or workload demands arise.
  • Perform additional supportive tasks related to the essential functions of the role, which may be adjusted or redesigned based on operational needs or individual circumstances.

Mandatory Training

Training is required of all Bank staff as related to regulatory mandated compliance topics and courses required for specific job functions. Career enhancement training courses are also available.
