Investment Operations & Client Service Specialist

Our client is an established outsourcing company that provides operational support to Registered Investment Advisors (RIAs) and financial planning firms across the US. They support clients with essential back-office functions including client servicing, financial planning support, investment operations, account administration, and other operational processes. Their team works behind the scenes to provide high-quality, efficient support that allows advisors to focus on their clients and core business. They are now looking for an Investment Operations & Client Service Specialist to join the team on a part-time basis, with the potential to increase to full-time as the relationship develops.

This is a hands-on, detail-oriented role focused on processing investment and client administration tasks quickly and accurately. You will work primarily behind the scenes, supporting advisors and internal teams with tasks such as opening new investment accounts, maintaining existing client accounts, processing money movements, updating client information, and resolving operational issues. The ideal candidate will be highly organised, comfortable working within established processes, and take genuine pride in producing accurate, high-quality work.

Key Responsibilities

  • Process new account openings with major financial custodians such as Charles Schwab, Fidelity, and Raymond James
  • Complete client account maintenance and administrative updates
  • Process requests such as money movements and changes to client information
  • Review documentation and identify missing or incorrect information
  • Communicate with advisors and internal teams when additional information is required
  • Work with investment performance reporting platforms such as Black Diamond and Orion
  • Contact custodian support teams to investigate and resolve account-related issues
  • Escalate more complex issues to team leads or appropriate members of the team
  • Follow established processes and workflows to ensure work is completed consistently
  • Maintain a high level of accuracy while processing a significant volume of work
  • Identify opportunities to improve processes and communicate suggestions to the team
  • Collaborate effectively with colleagues across the business

What We're Looking For

The successful candidate will be someone who:

  • Has experience in investment operations, wealth management, financial services, RIA operations, client servicing, or a similar environment
  • Has experience working with investment accounts, custodians, or financial administration
  • Is highly detail-oriented and takes pride in the quality of their work
  • Can work quickly without sacrificing accuracy
  • Has excellent written and verbal communication skills
  • Is confident identifying missing information and following up with the relevant person
  • Is comfortable communicating with external organisations and custodian support teams
  • Can follow established processes while also recognising opportunities to improve them
  • Is proactive and willing to speak up when there is a problem
  • Works well independently while remaining a strong team player

Experience With:

  • Experience with any of the following would be highly advantageous: Charles Schwab, Fidelity, Raymond James, Black Diamond, Orion, RIA or wealth management platforms, investment account administration, client account opening and maintenance

$900 - $1,100 a month Hours: Part-Time | 25–30 Hours Per Week | Potential to Progress to Full-Time
