Job description

Introduction
The Department of Health Services (DHS) Southern Wisconsin Center (SWC) is looking to fill a Limited Term Employment (LTE) Office Communications Associate position in the Communication Center.
Starting Salary of $21.05 per hour.
Selected candidate must be available to work all shifts, including some weekends . Schedule and number of hours will be based on facility needs. This will be discussed in more detail during interview.
SWC is a licensed and certified Intermediate Care Facility for Individuals with Intellectual and Developmental Disabilities (ICF/IDD). SWC provides a wide variety of programs and services designed to assist and prepare individuals to live successfully in the setting that best meets their needs. Located in southern Wisconsin in Union Grove, SWC brings together a rich history of providing exceptional services and state of the art treatment approaches for the new millennium. Note that:
  • LTE positions are not civil service classified positions, do not give any rights to a permanent civil service classified position, and do not lead to permanent status.
  • Wisconsin residency is required for LTE positions.
  • No more than 1039 hours may be worked within a 12-month period.

Position Summary
As the Office Communications Associate in the Communication Center, you will act as a resource, providing customer service support regarding IT programs, telephone, TMA , Indeavor/Scheduling inquires, etc. In addition, this position completes program-related tasks for SWC related to fleet vehicles, driver eligibility procedures, emergency operations, etc. This position requires extensive personal contact and building solid working relationships with residents, employees, supervisors, administration, other campus personnel and the general public, both on the telephone and at the reception window.
Salary Information
The starting salary is $21.05 per hour.
Pay for current or former state employees will be set based on the rules that apply to compensation for the applicable transaction. This position is classified as an Office Operations Associate and is in pay schedule and range 02/10.
This position is eligible for an additional $0.80 for evening hours worked between 6pm to 6am, and a weekend differential of $.080 for hours worked between midnight Friday to midnight Sunday.
Job Details
All applicants who may be appointed to this position will be required to allow DHS to conduct a background check to determine whether the circumstances of any conviction may be related to the job being filled.
All appointees will be required to receive a TB test, which will be administered by SWC, or medical personnel approved by the facility prior to their start date.
This position requires the physical ability to lift up to 45lbs as needed to move mail bags, packages, or boxes of paper.
DHS does not sponsor work visas for this position, thus, in compliance with federal law, selected candidates will be required to verify eligibility to work in the United States by completing the required I-9 form upon hire. DHS is not an E-Verify employer nor a STEM-OPT eligible employer.
Qualifications
Minimally qualified applicants will have both of the following:
  • Experience communicating with internal and external customers (e.g., responding to inquiries, explaining policies or procedures, resolving issues, collecting information etc.) by phone, email, or in person.
  • Experience using Microsoft Office Suite (Excel, Outlook, etc.). Examples of work may include communicating via email; scheduling appointments or meetings; entering, editing, or tracking data; etc. An excel test will be required.
Well-qualified applicants will also have one or more of the following:
  • Experience with emergency management or handling emergency situations.
  • Experience answering multiple phone lines.
  • Experience working confidential information and maintaining confidentiality of sensitive information.
