Job description

Job Function – 

Assists Operations Manager in executing operations tasks and activities, including M&A, as well as serving as a Bank project lead for cross-functional strategic priorities to include systems, processes, and products. Plays a key role in improving processes, systems and how teams work together. Collaborates with various areas to help create/maintain training procedures, core system optimization, process improvement/innovation, documentation/compliance alignment, and cross-functional collaboration with Sales, branch staff, Deposit Operations, Training, Project Team, and other Leadership. 


Job Responsibilities – 


  • Identifies project requirements by interviewing internal customers; analyzing operations; determining project scope; documenting results; etc. 
  • Supports practical solutions that improve efficiency, accuracy, compliance and employee/customer experience. Role is well-suited for someone who enjoys solving problems, coordinating project, supporting change, and helping team adopt better processes and tools. 
  • Develops project plans and templates for internal projects including weekly reporting of milestones and reminders of items due on action lists.
  • Provides knowledgeable assistance and consultation regarding system setups to departments and facilitates changes as needed. 
  • Assists with compiling, analyzing, and interpreting data needed to identify trends and patterns to assist with decision making and business recommendations. 
  • Facilitates and leads meetings as assigned. 
  • Regularly meets with department managers and develops dialogues regarding current issues/inefficiencies, documenting them and implementing projects to address them. 
  • Strong analytical, problem-solving, organizational, project management, and communication skills with the ability to manage multiple priorities and support informed decision-making. 
  • Coordinates the quarterly core system Releases for enhancements, defects, etc. Notifies departments affected by core system updates and schedules installation and testing with documented results. 
  • Collaborates with Training department to develop and maintain training curriculum.
  • Helps identify and resolve operational issues that may arise, ensuring smooth workflow and minimal disruption. 
  • Works with Line of Business Managers to develop and maintain a standard set of operational procedures to create transparency and organization among various areas of the bank through effective communication, training and change management practices. 
  • Helps maintain the Bank’s intranet to ensure procedures and resources are readily accessible and up to date. 
  • Assists in authoring new Policies for the bank as needed in the form of a mini project. 
  • Helps monitor Operations department budgets for variations and validation of expenses paid to include maintenance of non-budget worksheet.
  • Organizes all past project decisions for reevaluation when needed. 
  • Ensures that own work as well the financial institution is in compliance with applicable regulations directly or through subordinates.
  • All other duties as assigned.


Education and Related Experience – 

  • 10+ years’ experience in a financial institution or equivalent work experience required to include teller and platform system knowledge, documentation of procedures, regulatory knowledge, system functionality, project management, M&A and reporting.
  • Bachelor’s degree or equivalent experience required. 


Skills and Abilities – 

  • Excellent written and verbal communication skills 
  • Advanced training in Microsoft Excel and Power BI
  • Superior analytical skills required 
  • Strong decision-making skills and sensitivity when dealing with confidential information. 
  • Strong computer skills, including proficiency with MS Office (Word, Excel and Outlook). 
  • Excellent organizational skills with great attention to detail.
  • Excellent interpersonal skills with the ability to interact within all levels of the Bank.
  • Exceptional verbal, written and interpersonal communication skills with the ability to apply common sense to carry out instructions and instruct others, train personnel, and write reports, correspondence and procedures.
  • Ability to multi-task and manage multiple priorities and projects.
  • Ability to collect and compile relevant data.
  • Excellent ability to analyze information and think systematically.
  • Ability to deal with complex problems involving multiple facets and variables in non-standardized situations. 
  • Must possess the ability to perform detailed tasks with accuracy. 
  • Must possess knowledge of standard office equipment including computer, ten-key adding machine, typewriter, fax machine, scanner, and copy machine. 


Working Conditions and/or Physical Requirements – 

  • Ability to work under stress and meet deadlines. 
  • Ability to adopt and learn product management software and activities as assigned.
  • Ability to operate a keyboard if required to perform the essential job functions. 
  • Ability to read and interpret a document. 
  • Ability to travel if required to perform the essential job functions. 
  • Ability to lift/move/carry approximately 20 pounds if required to perform the essential job functions. If the employee is unable to lift/move/carry this weight and can be accommodated without causing the department an “undue hardship,” then the employee must be accommodated; hence, omitting lifting as a physical requirement.
