ROLE
This is a specialized administrative role within the Sales Administration Department, undertaking a range of routine day-to-day administrative tasks as well as providing resources to elevate current administrative processes and provide more detailed support to individual projects and programs primarily those related to Sales Administration. The needs of this role will change frequently based on the needs of the key departments.
CORE COMPETENCIES FOR THIS ROLE
• Provide administrative and operational support to Sales Administration, Sales, Marketing, and related departments.
• Review and process bookings, qualifications, reports, reconciliations, payroll, and licensing activities to ensure accuracy and compliance with company policies and procedures.
• Support inventory management, tour scheduling, program administration, and partner requests to meet operational needs.
• Assist with recruiting, onboarding, and employee administrative processes for Sales and Marketing teams.
• Collaborate with internal departments to resolve issues, support daily operations, and contribute to departmental goals.
• Maintain knowledge of company products, services, systems, and procedures while performing assigned duties in a timely and professional manner.
RESPONSIBILITIES
Provide administrative support to the Sales Administration Department to include but not be limited to:
• (1) Reviewing frontline tours schedule for waves and adjusting the tour wave to ensure tours are in appropriate rooms based on credit qualifications. Maximizing wave management allotments to ensure best outcome for the sales teams while providing support for marketing verticals booking needs.
• (2) Reviewing owner-based bookings to ensure that all bookings follow all qualifications and booking rules set forth by the company, provide team a weekly update of found issues for resolution. Following up to ensure those resolutions are actual and factual in nature.
• (3) Weekly and monthly reconciliation of programs, to include brokers and company partners.
• Provide operational support for booking partners tour requests, to include brokers and company-based teams.
• Assist Sales Team with real-time Owner qualification inquiries.
• Assist call center management in inventory allotment strategies and collaborative efforts with RevSolutions
• Review weekly payroll for sales and marketing teams for Manager Approval.
• Review of daily exception reports and providing resolution with appropriate department managers.
• Weekly minivac program administration to include preparation and printing of arrival letters.
• Manage inventory levels and coordinate ordering of supplies for the sales floor
• Assist recruiter with job postings, scheduling interviews, and hiring processes across all SPR teams
• Manage process of licensing of sales and marketing agents
• Process on boarding for new hires in sales and marketing
• Maintains a working knowledge of all resorts, company products and services related to sales and marketing and the company as a whole.
• Support the daily activities and assignments provided by leadership. Participate in proactive team efforts to achieve departmental goals.
• Adhere to all company and departmental policies and procedures
• Additional duties that may be assigned to meet business needs
