ResponsibilitiesPosition Summary

Supports the design, optimization, and ongoing management of HR technology and process workflows, with a focus on recruiting systems and automation. This role partners closely with the People Team, IT, and cross-functional stakeholders to enhance system functionality, streamline processes, and improve data-driven decision-making across the employee lifecycle. Assists in configuring and maintaining the iCIMS applicant tracking system, developing automations using tools such as Microsoft Power Platform, and supporting system enhancements, integrations, and reporting initiatives.

Through hands-on involvement in process mapping, workflow design, and continuous improvement efforts, this role helps drive efficiency, standardization, and scalability of HR systems and processes.  Contributes to the creation of system documentation and training materials to support end users and ensure successful adoption of new tools and capabilities.

Job Responsibilities 
  • Assists with configuration and maintenance of iCIMS workflows, including job templates, approval processes, and candidate pipelines.
  • Supports the design and build of automations (e.g., Power Automate, system triggers, notifications) to streamline people team processes.
  • Partners with stakeholders to analyze current processes and identify opportunities for efficiency and standardization.
  • Helps develop and maintain system documentation and training materials for end users.
  • Assists with reporting and data analysis to support recruiting operations and decision-making.
  • Supports testing and implementation of system enhancements, integrations, and new features
  • Participates in process mapping and workflow design sessions.
  • Collaborates with cross-functional teams including Recruiting, Employee Relations, Leave of Absence, IT, and Communications to support system-driven initiatives.
  • Contributes to continuous improvement efforts by identifying and recommending process or system enhancements.
  • Responsible for the Company's Security and Safety Management System (SMS) and associated Safety Risk Management and Safety Assurance outputs.
Position SpecificsQualificationsRequired
  • Currently pursuing a degree in Information Systems, Business, HR, Data Analytics, or a related field.
  • Strong interest in HR systems, automation, and process improvement.
  • Analytical mindset with attention to detail and problem-solving skills.
  • Ability to learn new systems and tools quickly.
  • Strong communication skills, with the ability to explain technical concepts clearly.
  • Experience with or exposure to tools such as:
    • iCIMS (preferred but not required)
    • Microsoft Power Platform (Power Automate, Power Apps)
    • Excel or other data tools
    • Copilot (preferred but not required)
  • Ability to manage multiple tasks in a fast-paced environment.
  • Must be able to read, speak and write in English.
  • If hired, you must be able to demonstrate authorization to work permanently in the U.S.
Additional Information

Delegation: In absence, responsibilities delegated to Director of Crew Recruiting and Systems.

Supervisory Responsibility: This is not a supervisory position.

Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, telephones, photocopiers, facsimile machines and filing cabinets.
