Job Description
Position Summary
The Operation Documentation Administrator Intern will support the development, implementation, and maintenance of the company's Integrated Management System (ISO 9001, ISO 14001, ISO 45001, and other standards as applicable).
This role provides hands-on experience in document control, process mapping, environmental & safety compliance, internal audits, and continuous improvement activities.
Key Responsibilities
1. Documentation & Process Support
  • Assist in drafting, revising, and formatting procedures, work instructions, flowcharts, and policies.
  • Update forms, logs, and controlled documents within the Document Control System.
  • Help maintain version control and ensure compliance with ISO requirements.

2. ISO IMS Implementation Activities
  • Support gap analysis and action plans for ISO 9001/14001/45001 implementation.
  • Collect evidence and upload required files for certification readiness.
  • Assist departments in preparing documentation aligned with IMS requirements.

3. Internal Audits
  • Help with internal audits. Track audit findings, corrective actions, and closure status.

4. Data Tracking & Reporting
  • Compile KPI data (quality, environmental, and safety performance).
  • The Smartsheet platform is designed for project management, collaboration, tracking key metrics, and streamlining workflows.
  • Centralize key information to assist in faster and more informed decisions based on real-time data.
  • Streamline workflows to help reduce repetitive tasks and focus on more strategic activities.
  • Tailor reports and dashboards to meet specific project needs and ensure relevant information is always available.

5. Environmental, Health & Safety Support
  • Assist with hazard ID, risk assessments, and aspects/impacts identification.
  • Help maintain SDS library and regulatory compliance data.
  • Support safety walk-throughs, inspections, and compliance tracking.

6. Continuous Improvement
  • Support root cause analysis and corrective action development.
  • Suggest improvements to streamline processes and documentation.

Required Qualifications
  • Currently enrolled in a degree program.
  • Strong organizational skills and attention to detail.
  • Good communication skills (written & verbal).
  • Proficiency in MS Office (Excel, Word, PowerPoint).
  • Ability to work independently and manage multiple tasks.

Preferred Qualifications
  • Familiarity with ISO 9001, 14001, or 45001 standards (coursework or prior exposure).
  • Experience with data analysis or KPI tracking.
  • Interest in sustainability, safety, or quality management.
