Job Title: Program Manager
FLSA Status: Full Time, Exempt
Classification: Professional
Department: Feeding Our Neighbors Office: St. Cecila's & Washington Heights
Reports to: Director of Feeding Our Neighbors
Supervisory Responsibilities: Yes x No
Summary: This position will be responsible for several key areas of the Feeding Our Neighbors Department: 1) provide assistance, support and coordination to the food programs managed a nd/or operated by the CCCS FON, 2) manage statistical reports and data collection for the d epartment and food programs, and 3) assist with coordinat ion of special events during the calendar year. This position will play an integral role in the development and establishment of various high level administrative tasks and standards of operations for the various sites and programs within the program .
Essential Duties and Responsibilities include the following. Other duties may be assigned.
  1. Perform annual assessment of conduit food programs to determine efficiencies in program operations, contractual and sector compliance, funding allocations, data collection, client tracking, monthly reporting, maintaining nutritional standards, staffing, volunteers, and other supports as needed.
  2. In consultation with FON management, recommendations, corrective actions and/or remedies will be developed to ensure and maximize program operations.
  3. Develop methods to track and follow up with program assessments during the year to ensure compliance and progress.
  4. Program Manager will work with each program to establish expectations for program as outlined by FON program to ensure program compliance with funding, inspections, data collection, safety standard, and food nutrition, etc.
  5. Develop, maintain and report monthly compliance and progress report of food programs that include recommendations for enhancements, corrective measures, and/or other considerations to benefit program operations.
  6. In collaboration with Dept. Director and meet with new and/or potential food program sites to determine level of assistance and support.
  7. Develop and manage systematic methods for the collection of program data from programs and maintain monthly statistical report on behalf of the FON department. Work with contract manager to continue implementing the PLENTIFUL APP at the various food programs .
  8. Develop and maintain master database for registered clients, meals served, lbs. of food distributed, and other relevant statistical data for FON.
  9. Serve as point person with the agency client database system and with CC Data Manager
  10. Serve as compliance manager to ensure program sites are providing accurate information of deliverables and related statistics. Analyze data, trends and coordinate support when needed based on data collection.
  11. Assist with the development of a tracking system for all purchased equipment and service agreements by site to ensure proper maintenance and inventory of program equipment.
  12. Provide reliable responses by phone and e-mail to all requests regarding the programs and/or department related matters.
  13. Attend all related training and acquire certifications as directed by supervisor. May be asked to represent agency at community events and/or sector related forums in NYC, NYS, Foundations, and with local elected officials as needed.
  14. Support all special projects and/or events during the year as needed.
  15. May be asked to assist in the preparation of the agency annual budget process and performance measure discussions as it relates to the FON programs.
  16. Program Manager will need to continuously expand their knowledge and resources within of the emergency food sector, issues related to hunger, and poverty.
  17. Support the SNAP team with Outreach events and data collection
  18. Provides support as needed to the FON Director.

Position Type and Expected Hours of Work:
This is a f ull-time position. Days and hours of work are generally 9:00 AM to 5 PM Monday - Friday. Additional evening and weekend hours are required for outreach and special events.

  • Travel at least 50 % of the time using public transportation or vehicle , traverse streets; occasionally ascend/descend stairs and be exposed to outside weather conditions.
  • Remain stationary at a work station or during meetings/presentations, and use a computer.
  • Carry a laptop to offsite work locations.
  • Ability to operate standard office equipment i.e. copier, fax, scanner, postage machine and printer.
  • Ability to use and respond to phone calls.
  • Must be able to lift or move containers that weigh over 50 pounds
  • Ability to work with the public.

Qualifications
Education and/or experience required:
  • Bachelor's degree preferred, or at least five years' experience in the food industry and/or customer service industry.
  • Bilingual, Spanish English Required.

Skills, Licenses, and/or competencies required :
  • Excellent interpersonal skills.
  • Knowledge of social service delivery systems, and County resources.
  • Good organizational, time management and communication skills.
  • Proficient in MS Office and Database entry.
  • Individual must possess the ability to work well independently as well as part of a team.
  • Individual must be willing to travel throughout the designated County and to participate in trainings as needed in Albany and elsewhere.
