The Operations & Project Manager dynamically oversees both daily warehouse logistics and high-level project execution for our Hauppauge, NY facility. This position requires an agile leader who can manage site crews remotely while optimizing local supply chains, asset tracking, and fleet readiness. You will act as the critical operational bridge between client management, field crews, and warehouse inventory.

Key Responsibilities

Warehouse Operations & Inventory Control:

  • Inventory Database Management: Act as a mediary between national inventory manager & local warehouse lead. Input data for regional load lists, shortage reports, and return-to-stock metrics for the NY branch.
  • Order Fulfillment Support: Assist warehouse & field teams with asset picking, custom toolbox configurations, and overall picklist processing. Verification and dissemination of inbound and outbound freight loads to both the warehouse and field crews.
  • Material Tracking & Validation: Cross-reference seat & row stickers against master manifests and compile monthly regulatory mesh logs. Assist in the administrative processes of keeping all material properly tagged & logged.
  • Facility Organization: Assist local warehouse manager with day to day administrative functions as well as overall warehouse organizational processes.
  • Procurement Support: Manage local supply runs and coordinate product material training with internal technical leads.

Logistics & Fleet Management

  • Inbound/Outbound Freight Coordination: Verify external trucking manifests and align arrival windows directly with logistics coordinators and warehouse teams.
  • Crew Mobilization: Confirm departing local crews possess appropriate vehicle keys, technical drawings, job sheets, and facility credentials.
  • Fleet Asset Maintenance: Oversee the preventative maintenance, service tracking, and road-readiness of the NY vehicle fleet.

Project Management & Field Leadership

  • Active Project Oversight: Conduct daily morning check-ins with field foremen to verify crew attendance, transit arrival, and address immediate field issues.
  • Mid-Day Progress Control: Execute secondary mid-day audits with site leads to evaluate tracking metrics and implement workflow adjustments.
  • Project Documentation: Maintain real-time progress logging and compliance records for all active operations under your management.
  • Client Relationship Management: Initiate primary client onboarding to finalize schedule timelines, site contacts, and heavy equipment logistics.

Forward Planning & Scheduling Optimization

  • 3-4 Week Look-Ahead: Analyze upcoming pipeline schedules to forecast labor allocations, temp requirements, and heavy equipment needs.
  • Postmortem Review Analysis: Evaluate historic project data and legacy postmortems to mitigate recurring field liabilities and safety bottlenecks.
  • Resource Blueprinting: Generate detailed project tool lists and coordinate specific OSHA, credentialing, and site dress code regulations.
  • Operational Readiness: Coordinate look-ahead operational briefs and site visits with field foremen prior to site mobilization.
