Job description

Position – Assistant Operations Director

The Assistant Operations Director serves as a key member of the operations team and is responsible for managing weekend staff, overseeing day-to-day operations, and ensuring exceptional communication across all departments. This position works closely with the Operations team, Admissions, Clinical, and Medical to ensure facilities are properly staffed, operational and reporting needs are met, and clients receive high-quality care.

This role requires a hands-on leader who is comfortable working as a team and independently, coaching staff, holding employees accountable, solving complex staffing challenges, and responding to evolving operational needs. Success in this position requires strong leadership, sound judgment, and the ability to effectively communicate and manage people and processes in a dynamic treatment environment.

The following job description is not inclusive of all job responsibilities:

  • Partner with the Director of Operations, Executive Director, HR, Admissions, Clinical, Medical, and other department leaders to ensure effective operations and continuity of care across all residential treatment programs.
  • Maintain consistent staffing, communication, accountability, and operational standards across all RTC locations.
  • Take ownership of onboarding, training, coaching, supervising and developing the Behavioral Health Associate staff including managing staffing schedules, coordinate shift coverage, and respond to call-offs, vacancies, and staffing emergencies.
  • Provide ongoing performance management, corrective action, accountability, and staff support.
  • Serve as the primary operational leader during assigned weekend hours and respond to operational issues, incidents, and escalations.
  • Oversee facility operations, including supply management, ordering, inventory control, transportation coordination, equipment functionality, vendor support, and general operational readiness.
  • Identify and resolve operational issues related to facilities, technology, safety, maintenance, and day-to-day program needs.
  • Ensure residential programs maintain a safe, organized, compliant, and therapeutic environment.
  • Oversee compliance with company policies, medication management procedures, safety standards, documentation requirements, and regulatory expectations.
  • Ensure staff maintain required certifications, training, and compliance standards.
  • Conduct operational audits, facility inspections, and quality assurance reviews to ensure program compliance and operational excellence.
  • Review and ensure timely completion of incident reports, documentation, and required operational records.
  • Maintain effective communication between departments and provide regular updates regarding staffing, operational concerns, and program needs.
  • Travel between locations as needed to provide leadership, operational oversight, and staff support.
  • Maintain a valid driver's license, pass all required background screenings, and adhere to Department of Human Services standards and the company Code of Conduct.
  • Manage 12-15 direct reports including regularly scheduled coaching sessions, training, hiring, and disciplinary actions as needed

Required

  • High school diploma or GED.
  • Must be at least 21 years of age.
  • Valid driver's license with acceptable driving record.
  • Ability to pass a Department of Human Services background check.
  • Progressively increased manager/leadership experience
  • 2+ years of people management experience.
  • Minimum 3 year experience in behavioral health, substance use treatment, healthcare, or residential services.
  • Experience in logistics, schedules, staffing, or operational workflows.
  • Microsoft Office Suite proficiency
  • Strong problem-solving and conflict resolution skills.
  • Ability to make sound decisions and work independently.
  • Experience in a fast-paced environment requiring frequent operational decision-making.

 Preferred

  • Proficiency coordinating staffing, scheduling, or multi-site operations.
  • Knowledge of behavioral health treatment environments and regulatory requirements.
