Who We Need
The Operations Assistant will help organize and run the daily administrative operations of the facility, support a myriad of office tasks, and work diligently under the supervision of the Director of Vendor Relations and Billing. The ideal candidate will possess a keen attention to detail, be highly organized, have excellent interpersonal and communication skills, maintain confidentiality, and have excellent problem-solving skills.
Key Responsibilities
  • Administrative Support amp; Office Operations
  • Assist with office functions and provide assistance to network staff.
  • Sort and distribute communications in a timely manner.
  • Assist with building intercom communications.
  • Provide general support to visitors and callers.
  • Maintain storage and supply areas.
  • Organize and monitor supply levels, receive deliveries, and verify items received.
  • Manage and address office-related issues as they arise.
  • Process vendor time sheets.
  • Coordinate onboarding of vendors
  • Assist with porter coverage.
  • Maintain trusting relationships with suppliers, customers, and colleagues.
  • Organize and maintain digital filing systems
  • Assist in the collection of insurance documentation
  • Provide regular updates on pending task
  • Support scheduling of conference rooms and events
  • Performs other duties as assigned.

Qualifications:

  • High School Diploma or General Equivalency Diploma (G.E.D.) required.
  • Minimum of 2 years of work experience as an Operations/Office Assistant or similar administrative role required.
  • A thorough understanding of office management procedures is required.
  • Excellent organizational and time management skills required.
  • Analytical abilities and problem-solving aptitude required.
  • Excellent written and verbal communication skills required.
  • Proficiency in MS Office Suite (MS Word, Excel, PowerPoint, Outlook) required
Compensation:
  • Starting salary $47,741. Salary is commensurate with experience and qualifications.
