Job description

The Role:

The Operations Associate (OA) partners directly with staff, students, and families at Circle City Prep and Circle City Schools and is responsible for maintaining operational excellence at the school. The OA is a key member of the schoolโ€™s Operations Team reporting to the Manager of Operations, overseeing day to day needs of the facility and classrooms. Additionally, the Operations Associate will support Network transportation by safely transporting passengers along designated routes to specific destinations before and after school.


Hours on school days:

  • Monday - Thursday: 7am - 4:15pm
  • Friday: 7am - 2pm

Hours non-school days:

  • 7:10am - 4:15pm


Background on the Organization:

Circle City Schools is a small network of schools in Indianapolis, Indiana composed of ACE Prep (K-6) and Circle City Prep (K-8). Both campuses are committed to high expectations paired with high levels of support. We hold a deep belief that all scholars have immense potential and unique strengths. ACE Prep, serving grades K-6 in the Greater Broad Ripple area, was founded in 2016 and boasts a 90%+ IREAD pass rate in SY24 and SY25. While focused on academic rigor, ACE totes a small school environment where each child is seen and cared for. Circle City Prep, serving K-8 scholars on the Far Eastside of Indianapolis, was founded in 2017 and serves 90%+ low-income and 30%+ multilingual learners. For the last four years, Circle City Prep has been the highest performing public school in its community and focuses on a well rounded school experience.


Job Responsibilities:

As the Operations Associate, you will:

School-Wide Operations

  • Assist the Operations Team in daily management of school building, supplies, curriculum and other school operational needs to ensure the safety and success of Staff and students.
  • Report building maintenance needs to the appropriate individual and support coordination with vendors and custodial staff on repairs, deliveries and installations
  • Provide administrative support for the school of various degrees such as preparation and distribution of documents for correspondence and communications to staff and families, answering the phone, etc.
  • Collect, review and verify supply hubs throughout the building are stocked and place the appropriate supply requests.
  • Monitor school-wide operations request submissions and close out all requests as assigned in a timely manner.
  • Tasks will vary according to school operations with a typical focus on the facility, inventory, administrative support, event management and student supports functions of the organization
  • Maintain calendar updated and provide constant progress updated to manager and team

Network Transportation

  • Drive assigned routes in 15-passenger bus/van, ensuring on-time arrivals and departures
  • Maintain order and discipline, managing student behavior according to network policy while driving
  • Conduct pre and post trip inspection of vehicle
  • Consistent communication with Network Safety and Attendance Officer concerning route, safety, and student/family concerns

Student & Family Supports

  • Work with Operations, Student Supports and full Leadership Team to average 94% full-school daily attendance and ensure tardies are below 18%.
  • Create trusting relationships with families and community organizations to be a conduit of available services and supports to our Scholars and families.

Attendance & Enrollment

  • Collaborate with operations team on systems related to enrollment, attendance, and student retention
  • Support families with enrollment, registration, and student records processes

Additional Duties

  • Ensures Circle City Prep consistently falls within top quartile of operations standards on annual Insight Survey.
  • Work closely with the Director of Operations in creating a clean, safe, and welcoming environment.
  • Provide appropriate supervision of students during class, breaks, meals, enrichment, arrival/dismissal, and transitions to maintain an optimal work environment and to ensure studentsโ€™ safety and well-being.
  • Commit to 7:00am โ€“ 4:15pm daily schedule.
  • Other duties as assigned.


Requirements:

To be considered as an Manager of Operations, you must have:

  • Bachelorโ€™s degree (preferred).
  • Valid Driverโ€™s License and a clean driving record.
  • Minimum age requirement of 21 or older.
  • Experience teaching or working in public elementary school (preferred).
  • Speak Spanish and/or Haitian Creole (preferred).
  • Track record and evidence of exemplary personal organization.
  • Belief in and alignment with Circle City Prepโ€™s core values and educational philosophy is non-negotiable.
  • Pass a criminal background check, as required by law.
  • Willingness to work occasional weekend and evening work hours required.
