Job description

Job Summary and Qualifications

Performs a wide variety of clerical, communication, and computer assisted functions necessary for the efficient scheduling of surgical cases. He/she is responsible for the daily scheduling of cases. He/she consults with the Charge Nurse/Director to manage scheduling conflicts and emergency add-ons. 

  • Adapts to changes in volume/acuity demands. 
  • Supports responsible staffing decisions (cancels, places staff on hold/on call, calls in on hold/on call staff appropriately). 
  • Coordinates scheduling of surgical cases by working closely with physicians’ office staff in providing the scheduled times to meet their needs. 
  • Consults with the Charge Nurse/Clinical Manager to manage scheduling conflicts and emergency add-ons. 
  • Documents any errors which appear during the scheduling process. 
  • Achieves and maintains current system knowledge of current system. 
  • Recognizes and takes appropriate action for system needs, i.e., software or hardware. 
  • Run daily scheduling system backup, Monday through Thursday, and complete backup on Friday. 
  • Reports any errors to supervisor. Demonstrates ability to effectively communicate and interact with OR management and staff regarding schedules. 
  • When the system is down, it takes appropriate actions, i.e., notifying supervisor and using a manual scheduling sheet. 
  • Exhibits a high level of creative and scheduling problem solving by arranging cases on grid appropriately. 
  • Shows flexibility, patience, and diplomacy with providers and coworkers in a stressful situation, especially during increased scheduling activity. 
  • Distributes surgery schedules to appropriate departments. 

What qualifications you will need:

  • Experience and familiarity with surgery terminology, surgical process with knowledge of routines and resources. 
  • Aptitude and interest regarding computer software and hardware sufficient to learn as needed, basic hardware maintenance. 
  • Knowledge of functions and reporting capabilities to adjust and expand systems to evolving OR needs and goals.
