Manages and oversees maintenance operations for large-scale, gated HOA. Responsibility for all common property including 43 lakes, 65 acres of protected wetlands, two 24/7 manned access gates and one unmanned entry. Maintains over $2 million in assets including 12-miles of roadways owned by the Association. Responsible for all vendor services, contracts, relationships and in-house maintenance team necessary to maintain Association-owned property at a superior level to enhance home values and ensure a first-class quality of life for residents.

Accountabilities - list the main accountabilities/deliverables of the position.

  • Manage Maintenance/Landscape team.
  • Perform Vendor contract management activities.
  • Perform property inspections for cleanliness and condition of assets.
  • Generate and deliver government reporting as required by permits,
  • Perform property risk management assessments.
  • Respond to homeowner and Board inquiries (first point of response).
  • Respond to emergency calls.
  • Respond to and oversee Animal/Pest Removal - first response and manage vendor contracts and services performed.
  • Provide routine and deferred maintenance to all amenities and Association-owned assets totaling over $2 million.
  • Perform routine inspection of properties and work performed by others; maintain and procure equipment and machinery necessary to perform the above work.
  • First line of contact for 24/7 manned gate attendant contract, secure video feeds from all gates, and office/park locations, gate VOiP telephone platform.

Manage complex water and irrigation system; ensure the water quality of over 43 lakes on property, 65 acres of protected wetlands which operate under SWFWMD permits and perform the required reporting to government agencies.

  • Repare various reports for Southwest Florida Water Management Department (SWFWMD)

- Water use permit report.

  • Measure rainfall and maintain data.
  • Maintain maintenance records and historical files/plans.
  • Oversee shredding of office documents.
  • Receive and approve vendor invoices.
  • Set up and tear down Community Events (approximately 6x per year).
  • Participate at community events.
  • Provide front office back-up support and requested tasks.

Physical Conditions - list the physical conditions of the position (ie. Indoor work, outdoor work, off-site work, etc.)

Position is primarily performed outdoors (approximately 85% of the time) involving common properties, lakes, wetlands, roads and amenities and home sites. Position can frequently be subjected to extended periods of extreme heat, inclement weather, dirt/dust, animals, insects and other unfavorable physical conditions. Outdoor community events participation and various meeting attendance, on-property is also required (periodically). Work is performed indoors approximately 15% of the time in an office setting.

  • Associate's Degree (in a related industry, ie: Property Management, Real Estate Management, Facilities Management, Maintenance, Landscaping or other)

  • Prior experience/knowledge of cloud-based and on-site server systems (proprietary or other) including: Visitor Management System (VMS), Gate Software (DSX), Windows Server 2016, Desktop scanning and storage

  • Knowledge of laws regarding proprietary admittance and data collection from guests

Physical Requirements

  • Ability to stand and walk for extended periods throughout the workday.
  • Ability to climb stairs, ladders, bend, stoop, kneel, crouch, or reach frequently.
  • Ability to lift, carry, push, or pull objects up to 50 pounds regularly and occasionally heavier with assistance.
  • Manual dexterity to operate tools, equipment, and machinery safely.
  • Visual acuity to inspect equipment, read gauges, and perform detailed tasks.
  • Hearing ability to detect alarms, equipment sounds, and verbal instructions in noisy environments.
  • Ability to work in varying environmental conditions (heat, cold, dust, noise, outdoors).
  • Ability to wear and use appropriate personal protective equipment (PPE).
  • Ability to work varying schedules, including evenings, weekends, on-call, and overtime as required.
