Contract Licensing Specialist
Position Overview
The Contracts Specialist supports the Operations team by managing the administrative and compliance components of the contract process. This role ensures that insurance certificates, bonds, licensing, and contract safety requirements are current and accurate across all active projects. The right person is detail-oriented, organized, and comfortable juggling multiple priorities in a fast-paced construction environment.
Key Responsibilities
  • Licensing Management (approx. 40%) - Monitor, renew, and maintain state-specific contractor licenses. Research licensing requirements across multiple states using online state portals and other resources.
    • The right person will want to research and take ownership of requirements
  • COI & Bond Management (approx. 20%) - Request, track, and maintain Certificates of Insurance and bonds for subcontractors and vendors across active projects using client COI platforms. Ensure compliance with contract requirements and flag expirations proactively.
  • Contract Safety Requirements (approx. 20%) - Collaborate with the Safety Director to ensure subcontractor and project compliance with contract safety language and documentation requirements.
  • Project Preparation Support (approx. 10%) - Assist the Operations team with administrative tasks related to project startup and document preparation.
  • PCO/ACO Entry (approx. 5%) - Accurately enter Potential Change Orders and Approved Change Orders into Viewpoint in a timely manner.
  • Industry Advancement Fund (IAF) Administration (approx. 5%) - Manage IAF requests by tracking expiration dates, coordinating execution of signed contracts, and communicating internally to ensure timely follow-through and renewal of fund agreements.
