Job description

Key position functions include:

  • Review of initial tender/bid documents to assess the company’s ability to participate in competitive bid situations. RFQ review would include:
    • Ability to assess the need and to quote the product requirements
    • Ability to conform to financial requirements. This could include identifying countries that are currently being boycotted by US or Canadian Governments or that Canadian banks will not deal with in terms of currency.
    • Ability to perform Contract Review.
    • Ability to manage product delivery requirements and Production Schedules.
    • Ability to manage QA and Documentation requirements.
    • Ability to deal with specific agent and/or rep involvement
    • Ability to meet bid timeline.
    • Where applicable, compilation and distribution of Financial Approval Form.
  • Interact with manufacturing and procurement groups to determine accurate product costing and delivery.
  • Prepare Surface Safety Valve quotations and supply technical documents based on customer input and data requirement lists.
  • Interact regularly with customers during bid and order process including bid and order acknowledgement and document submission where applicable.
  • Initiate contact and coordinate shipments with Stream-Flo Customs/Logistics coordinator or company freight forwarder in terms of preparing quotations and documents for shipping and insurance.
  • Handle customer calls relating to complaints on orders, investigate basis of complaint, refer problems to appropriate personnel, recommend action to rectify problems, and follow up to ensure resolution.
  • Work with multiple departments in the coordination of product repairs for customers.
  • Where required, create quotations in SAP and/or Word and sales orders in SAP once contract awarded.
  • Coordinate with local finance group all customer credit applications, including Letters of Credit, Performance Bank Guarantees and payment terms for staged deliveries and currencies.
  • Confirm that manufacturing controls and scheduling are in place to meet customer inspection and final delivery requirements.
  • Initiate contact with internal groups specific to Surface Safety System orders, examples: Engineering for BOM’s, Quality for inspection plans, Purchasing for coordination of buy-outs, Manufacturing for product delivery schedule, and Logistics for exporting.
  • Coordinate outsourced services such as coating and testing along with any 3rd party inspection requirements.
  • Coordinate Vendor Data Requirements List and final Manufacture’s Record Book.
  • Navigate customer’s online portals to ensure project related documentation is properly submitted.
  • Ability to manage Engineering drawings/design packages.
  • Other duties or responsibilities as determined assigned or assumed by the Surface Safety Systems – Inside Sales Manager.

Preferred candidates will possess a combination of the following qualifications:

  • Minimum 3 years’ industry related experience. Related post-secondary/technical training would be an asset.
  • Strong working knowledge of valve actuation and Surface Safety Systems equipment or related experience in the midstream and upstream oil and gas industry.
  • Working knowledge of material specs, valve data sheets, schematic drawings and current API-6A specifications.
  • Experience in costing/estimating or Project Management would be considered an asset.
  • High proficiency with Microsoft applications (Word, Power Point, Excel, Outlook, Teams, Project), and Adobe Acrobat.
  • Working ability with SAP software systems.
  • Superior written and verbal communication skills.
  • Excellent interpersonal abilities.
  • Strong organizational skills.
  • Ability to multi-task and meet timelines.
  • Self-motivated and able to work independently.
  • Ability to establish rapport and influence multiple distinct groups.
