Job description

Overview

Kimley-Horn is looking for a Project Coordinator to join our Columbus, Ohio (OH) office! This is not a remote position. 

Responsibilities
  • Interfacing with clients regarding project expectations, schedule, permitting process, etc.
  • Facilitating client communications (proposals, letters, contracts, transmittals, etc.). including preparing weekly trackers or job status communications for clients
  • Coordinating staff and contractors locally and nationally
  • Coordinating project submittals to various jurisdictional agencies, cities, utilities, etc. and researching agency requirements
  • Tracking all tasks and client deliverable documents
  • Assisting engineering staff with contract processes and requesting insurance certificates
  • Creating, proofreading, editing, formatting, and finalizing project-related documents and reports
  • Coordinating administrative and other project activities including meeting scheduling, progress tracking, and documentation for Project Managers and Project Analysts
  • Accepting incoming purchase orders and setting up electronic job folders, online trackers, input into internal accounting system, and creating and tracking purchase orders for subcontractors
  • Processing vendor and subconsultant invoices or assisting internal clients with billing and performing invoice reviews
  • Providing administrative and logistical support. such as compiling and assembling reports; coordinating large production jobs, printing, and binding
  • Problems are typically of a routine nature but may at times require interpretation or deviation from standard procedures
  • Assist PM with project accounting and invoicing
  • Providing mentorship and guidance for staff
  • Assist with design tasks in CAD
Qualifications
  • 3-5+ years of experience coordinating projects for national/corporate clients
  • Bachelors degree preferred
  • Excellent verbal and written communication skills
  • Highly proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint)
  • Proficient in Adobe Professional
  • Strong proofing, formatting and editing skills
  • Positive, client-oriented, take-charge attitude
  • Highly organized and detail-oriented
  • Capable of managing and balancing multiple tasks/priorities and performing well under deadline pressure
  • Ability to work well with various types of people and in a team environment
  • Ability to travel on a limited basis
