Job Summary
The Administrative Assistant performs general office duties in support of department staff and supervisors. This position performs clerical and administrative duties throughout the college, assisting students and visitors with general department Information and direction.
Responsibilities
Manage daily activities of the SSS office including, student check in, greeting students, contacting students for appointments, and supervise student workers. Provide administrative support to the Project Director and clerical assistance to the SSS staff. Maintain Blumen database and participant student files and generate reports. Schedule tutoring appointments for participants. Schedule educational and cultural enrichment events.
Oversee all event planning duties for workshops, including scheduling rooms, ordering supplies and food when needed, and distributing evaluations.
Input and maintain all program evaluation data. Maintain ledger of expenditures and reconcile budget monthly. Handles routine office activities Including greeting visitors, answering telephones, maintaining files, preparing correspondence and reports, and ordering office supplies.
Prepares various departmental and institutional reports. Supervises work-study students. Opens and distribute mail as needed.
Logs correspondence and various requests for service forms. Maintains log of all checks received.
Maintains office calendar. Composes, checks, and proofreads outgoing correspondence.
Performs other related duties as required.
Required Qualifications
Educational Requirements
  • High School Diploma or equivalent

Other Required Qualifications
  • Minimum two years of experience in an academic environment or a related field
  • Experience in office setting;
  • (OR) an equivalent combination of training and experience.

Preferred Qualifications
  • Associate's degree
  • Experience with TRIO - Student Support Services

Knowledge, Skills, & Abilities
ABILITIES
  • Maintain the office with minimum supervision
  • Work closely with students, faculty, and staff to ensure that all office operations are handled in an efficient and effective manner; work cooperatively and effectively with others
  • Organized and handle multiple tasks
  • Prepare and/or process purchase orders
  • Use computers for data entry, to use computers for word processing and/or accounting purposes, computer use in administrative areas with an emphasis on the BANNER student Information system.

SKILLS
  • Strong verbal and written communication skills
  • Independent judgment based on knowledge gained through the experience
  • Operate a computer, copier, and other standard office equipment
  • Proficiency in the use of Microsoft Office applications
  • Requires the ability to use small office equipment, Including copy machines or multi-line telephone systems.
