Hours/Week: 40

I. General Summary

Regional Orthopaedic Associates is seeking a professional and customer-focused Phone Operator to join our team. This role is responsible for answering incoming calls, scheduling patient appointments, and directing inquiries to the appropriate members of our physician teams. The ideal candidate will assist patients with scheduling needs, collect and verify demographic and insurance information, and ensure all interactions reflect the high standards of care our practice is known for.

II. Principal Duties and Essential Functions

Answer multi-line phones promptly and courteously.

Triage incoming calls to determine appropriate routing or action.

Schedule appointments for new patients, accurately entering all demographic and insurance information.

Schedule appointments for existing patients, updating and verifying all demographic and insurance data.

Transfer calls to appropriate physicians or team members as needed.

Review and manage appointment schedules and assist patients with referral-related concerns.

Provide exceptional service by addressing caller questions and concerns professionally.

Maintain flexibility with scheduling and be willing to adjust hours as needed.

III. Job Requirements

A. Job Knowledge and Skills

Proficiency in Microsoft Office products, including Word, Outlook, and Excel.

Working knowledge of standard office equipment, including multi-line phone systems, fax machines, and copiers.

Accurate typing and familiarity with email/calendar systems.

Basic understanding of medical terminology is necessary.

Strong attention to detail and ability to work independently or collaboratively in a team setting.

Must consistently check and respond to email communications in a timely manner.

B. Education

High School Diploma or GED preferred.

C. Experience

Prior experience in a medical office or healthcare setting is helpful but not required.

Compensation: Pay is commensurate with skills and experience. A pay range will be displayed on Indeed, but final compensation will be determined during the hiring process.
