Job description

FIRST IMPRESSIONS Coordinator

Perspective Optometry is seeking a friendly, organized, reliable and customer-focused First Impressions Coordinator who will ensure exceptional service from the moment patients enter our practice.

Job Summary: As the First Impressions Coordinator, you will play a crucial role in optimizing the patient experience by managing the flow of operations and enhancing efficiency throughout the optometry practice. You will coordinate office visitors, assist in managing expectations, facilitate patient intake, and conduct administrative processes to ensure seamless workflows and exceptional service delivery.


Key Responsibilities:

  • Patient Scheduling: Manage appointment scheduling and optimize the daily patient schedule to maximize efficiency and minimize wait times.
  • Patient Intake and Registration: Greet patients, collect necessary demographic and insurance information, and facilitate smooth check-in procedures.
  • Workflow Coordination: Coordinate patient flow throughout the practice, ensuring timely transitions between different stages of the appointment process (e.g., pre-testing, examination, optical dispensing).
  • Communication: Serve as a liaison between patients, optometrists, and support staff to facilitate clear communication and address patient inquiries or concerns promptly.
  • Inventory Management: Monitor and maintain inventory of office and clinical supplies, ensuring adequate stock levels and assisting with ordering as needed.
  • Administrative Support: Assist with administrative tasks such as filing patient records, processing payments, verifying insurance coverage, and handling correspondence.
  • Quality Assurance: Implement protocols to ensure adherence to practice standards, HIPAA regulations, and patient confidentiality guidelines.
  • Patient Education: Provide basic information to patients regarding procedures, services, and products offered by the practice.
  • Team Collaboration: Collaborate with optometrists, technicians, and administrative staff to coordinate patient care and support overall practice goals.

Qualifications:

  • High school diploma or equivalent; associate degree or coursework in healthcare administration or related field preferred.
  • Proven experience in a medical or healthcare setting, with knowledge of patient scheduling and office operations.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple tasks efficiently.
  • Strong interpersonal and communication skills, with a customer service-oriented approach to patient care.
  • Proficiency in computer applications such as electronic health records (EHR) systems and Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work effectively in a fast-paced environment and adapt to changing priorities.
