As an online notary, your duties are to provide independent third-party witness to the online notarization of official documents. Various industries such as real estate, insurance, law, and banking require notaries to verify documents that are notarized on the internet before they can be officially filed. In this remote job, your responsibilities are to ensure that all the signers receive the proper electronic paperwork, are informed of the obligations set out by the documents, and properly complete and sign the paperwork. Only a handful of states allow notaries to perform online notarization for signers around the world.

Position Summary Important Notice: This position is budgeted for Fiscal Year 2027 and is anticipated to become available after July 1, 2026. While recruitment activities may occur prior to that date, no hiring decision or start date will be finalized until after July 1, 2026, and is subject to final budget and governing body approval. A Receptionist performs receptionist duties, typing and filing correspondence, memoranda, reports, processing purchasing requests, cash handling, Xeroxing/scanning, staff scheduling, and may coordinate the daily work activities of others.
Education, Training, Experience, Certifications, Licenses and Registrations Education / higher education: High School Graduate or equivalent Minimum number of years of directly related experience: Six months' clerical or office experience. Education and/or experience preferences: None Driver's License requirement: Infrequent Driver -- Regular Driver's License Required Endorsements: None Note -- For any driver, driving record must always meet City driving and insurability standards. Required certifications, licenses or registrations: in some areas, incumbent may be required to be certified in First Aid, CPR, AED, Cash Handling and Defensive Driving.
Preferred certifications, licenses or registrations: Notary Public Knowledge, Skills and Abilities Knowledge: Knowledge of Department/Division procedures, office procedures, and software. Skills: Make arithmetic and mathematical calculations quickly and accurately; Understand and follow oral and written instructions; Organize, coordinate and complete tasks to meet scheduled deadlines. Accurately type documents quickly enough to be able to timely complete assignments and produce an acceptable volume of work; complete work assignments with minimal supervision; operate computers and other modern office equipment, including online computer systems and related equipment.
Abilities: Must be able to type rapidly and accurately enough to successfully produce documents/spreadsheets, communicate via e-mail, or perform data entry as necessary to accomplish the essential functions of the position (must test at 30 net WPM). Use of technology, equipment and software typically used in the office environment. Ability to read, comprehend and carry out detailed but routine written or oral instructions.
Ability to write short routine correspondence and memos. Ability to effectively present information to employees and customers. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to compute rate, ratio, and percent. Ability to deal with problems involving numerous concrete variables in standardized situations. Interaction with Groups/Agencies/Entities: Internal: Works with department supervisors, managers and directors on routine assignments and special projects.

Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments. Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations. Transmit information or documents to customers, using computer, mail, or facsimile machine.
Hear and resolve complaints from customers or the public. Perform administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators or computers to work with pay records, invoices, balance sheets, or other documents. File and maintain records.
Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided. Collect, sort, distribute, or prepare mail, messages, or courier deliveries. Process and prepare memos, correspondence, travel vouchers, or other documents.
Receive payment and record receipts for services. Additional duties if assigned to the Aquatics Center Acts as front-desk receptionist, taking admission fees, answering questions, and being the first point of contact for patrons at City swimming facilities. Uses cash register, answers phone, and greets the public.
Keeps accurate totals of monies collected, and accounts for all receipts per instructions provided by supervisor. Promotes positive relationships with the public, and is knowledgeable of all programs so that questions by the public can be answered and pool rules and policies are enforced. Assists with program registration / party rentals.
Attends all training sessions and in-service trainings. Maintains an orderly and neat reception / office area, assists in pool area, grounds and maintenance, and cleanliness as assigned. Works in cooperation with the Pool Manager and Head Lifeguards.
