Qualifications:
  • High School Diploma or Equivilent
  • At least one year expeirence in a clerical role; healthcare preferred

This position is responsible for managing and organizing appointments and answering phones call from clients. This role requires excellent organizational and communication skills, as well as the ability to prioritize tasks and maintain a structured schedule. The Admin Operations Specialist - Receptionist acts as a bridge between individuals served and team members, ensuring a smooth and efficient flow of appointments while accommodating various needs and preferences.
  • Demonstrate ability to engage consumers in a welcoming, hopeful, empathetic manner regardless of disability or phase of recovery.
  • Demonstrate excellent customer service to internal and external customers.
  • Input, update, and maintain the calendar availability.
  • Answer calls via the centralized scheduling phone queue and assist callers with their requests.
  • Complete requests in the centralized scheduling email and voicemail.
  • Answer calls, verify authorizations, verify active insurance, and schedule appointments with an active authorization as appropriate. May be responsible for answering and triaging internal and external telephone calls as needed.
  • Maintain the staff appointment schedule in the EHR, make and change appointments, and conduct follow-up phone calls to minimize "no shows."
  • Serve as backup for reception.
  • Complete outreach when primary scheduling duties are complete and as assigned by supervisor.
  • Manage appointment cancellation process and make follow-up calls to schedule appointments.
