Job description

Adler & Stachenfeld LLP, a dynamic boutique real estate law firm with a collegial atmosphere, is seeking an Executive Assistant to support a group of attorneys, including senior partners. The main objective of this position is to offer support to attorneys, empowering them to deliver exceptional service to the firm's clients. In turn, this position provides access to clients and senior members of the firm, which allows for significant career development and growth opportunities.
ROLE AND RESPONSIBILITIES INCLUDE BUT NOT LIMITED TO:

  • Calendar management, organizing and booking meeting rooms/scheduling meetings including virtual meetings;
  • Booking travel/restaurant reservations;
  • Assisting in task management;
  • Drafting and submit new matter memos/engagement letters;
  • Editing and proofreading legal documents;
  • Document formatting: Table of Contents, Table of Authorities, Page Numbers, etc.
  • Running blacklines;
  • Closing binder assistance;
  • Data and time entry;
  • Submitting reimbursements;
  • Planning and coordinating firm events, meetings, and hospitality;
  • Document distribution, review, and organization;
  • LinkedIn management;
  • Provide occasional after hours and on-call support; and
  • Other responsibilities as assigned on an as needed basis
QUALIFICATIONS AND REQUIRED SKILLS:
  • 3-5+ years of experience in a professional services environment, preferably within a law firm;
  • Strong organizational skills a must;
  • Ability to prioritize and handle multiple projects in a fast-paced environment;
  • Strong written and verbal communication skills, as well as a pleasant phone demeanor;
  • Must be reliable, a fast learner, self-motivated, attentive to detail and a team player;
  • Strong critical thinking skills required and the ability to think outside the box;
  • Must have exceptional "people skills" and present as professional and well-kept at all times;
  • Expertise in Windows 10, Microsoft Office Suite and Adobe is required
