Overview
Gordon Rees Scully Mansukhani, a national law firm with offices in all 50 States, has an immediate opening for an experienced Office Coordinator in its Seattle office. Ideal candidates must have a minimum of 2+ years of experience.
The Seattle Office Coordinator is responsible for overseeing the day-to-day administrative and operational functions of the Seattle office, ensuring a well-maintained, efficient, and professional work environment. This role manages office operations and facilities coordination, handles key financial and administrative tasks, and serves as a liaison between the Seattle office and the corporate office. The position also provides direct support to the Regional Office Administrator and collaborates with attorneys and staff to ensure seamless office and client service operations.
RESPONSIBILITIES:
  • Oversee the day-to-day administrative and operational functions of the Seattle office to ensure a professional, efficient, and well-maintained work environment.
  • Manage office operations and facilities coordination, including working with building management and vendors, maintaining supplies and equipment, and addressing maintenance and space planning needs.
  • Provide direct administrative and operational support to the Regional Office Administrator and serve as the primary point of contact for Seattle office administrative matters.
  • Support attorneys and staff with daily operational needs, including onboarding and offboarding coordination and internal office communications.
  • Assist with financial and billing-related tasks, including invoice processing, expense submissions, tracking office expenses, and coordinating with the finance team.
  • Serve as liaison between the Seattle office and the corporate office to ensure alignment with firm-wide policies, procedures, and reporting requirements.
  • Coordinate meetings, conference room scheduling, office events, and client visits.
  • Maintain confidentiality, support records management processes, and ensure compliance with firm policies and operational standards.

ESSENTIAL FUNCTIONS
The following essential duties are representative of the tasks that the individual in this role must be able to perform independently.   • Efficient utilization of software applications.
  • Regular and reliable punctuality and attendance.
  • Ability to access, input, and retrieve information from computer systems to prepare documents, reports, and correspondence with an important level of accuracy.
  • Ability to perform work that may involve sitting or standing for extended periods while using a computer or participating in meetings (in person or virtual).
  • Capacity to communicate and enunciate adequately, in person and via telephone, in a manner which can be understood by those with whom the employee is speaking.
  • Capacity to reach forward to a height of forty-eight (48) inches, to a low of fifteen (15) inches, to the side of thirty-six (36) inches and to the low side of nine (9) inches above the floor.
  • Willingness and capability to lift and movie boxes and containers weighing up to thirty (30) pounds.
  • Ability to operate, configure, and troubleshoot standard office and legal technology.
  • Ability to work cooperatively with other staff members, managers, and attorneys in a demanding and fast-paced environment.
  • Ability to work in-person, on-site Monday through Friday.

SKILLS/QUALIFICATIONS
  • 2-3 years of relevant experience, law firm experience preferred but not required.
  • Strong organizational and communication skills are essential.
  • Proficiency in Microsoft Office Suite.
    (Outlook, Word, Excel, PowerPoint) and iManage is preferred.
  • Strong attention to detail, ability to balance multiple projects and time management skills.
  • Ability to work in a fast-paced and collaborative team environment.
  • Must be available to work overtime as needed.
  • Ability to work independently with little or no direction.
  • Other duties as assigned.

The yearly salary range is between $65,000-$85,000.
