Job description

Office Receptionist-Intake Coordinator

Be the first friendly voice our customers hear—and the person who helps keep our operations moving!

SERVPRO of Roanoke, Montgomery & Pulaski Counties is looking for a professional, organized, and customer-focused individual to join our team. This is an important front-office position that combines customer service, communication, scheduling, dispatching, and administrative support.

If you enjoy staying busy, communicating with people, solving problems, and keeping things organized, this could be a great opportunity for you!

What You'll Do

As our Office Receptionist-Intake Coordinator, you will play a key role in connecting customers with our production teams and helping ensure jobs are handled efficiently from the first call through follow-up.

Your responsibilities will include:

  •  Answer incoming calls and provide professional, courteous customer service.
  •  Receive and enter lead calls and job referrals (FNOL) accurately and efficiently.
  •  Dispatch lead calls and job referrals to the appropriate team members.
  •  Coordinate production schedules and monitor job logistics.
  •  Track pending leads and referrals and ensure appropriate follow-up is completed.
  •  Maintain call documentation for weekly call log reporting.
  •  Coordinate the on-call schedule and help maintain smooth coverage.
  •  Greet visitors and serve as a welcoming first point of contact for the office.
  •  Perform general administrative and office duties, including correspondence, filing, scheduling, tracking, and customer satisfaction activities.
  •  Work with customers and internal teams to help ensure a positive customer experience.
Schedule

Full-Time | Monday–Friday | 7:00 AM–4:00 PM

Additional hours or flexibility may occasionally be required based on business needs.

Work Environment

This is primarily a sedentary office position. Some filing and office-related tasks are required, including the ability to lift files, open filing cabinets, bend, and stand on a stool when necessary.

Why This Position Matters

The Receptionist-Dispatcher is more than just a front-desk position. You are often the first person a customer speaks with when they need help. Your ability to listen, gather accurate information, communicate clearly, and coordinate the right resources can make a major difference in the customer's experience.

If you're someone who thrives in a busy environment, enjoys helping people, and takes pride in keeping things organized, we'd love to hear from you!

What We're Looking For

We're looking for someone who is dependable, professional, organized, and comfortable managing multiple priorities at once.

Minimum Qualifications
  • High school diploma or GED.
  • At least 2 years of business experience.
  • Strong customer service skills.
  • Excellent verbal and written communication skills.
  • Strong administrative and organizational abilities.
  • Working knowledge of current business software and office technology.
  • Ability to communicate professionally with customers, employees, and other contacts.
  • Ability to manage multiple calls, tasks, schedules, and follow-up items in a fast-paced office environment.
Preferred Qualifications
  • Associate's or bachelor's degree.
  • Previous experience in the commercial cleaning, restoration, or insurance industry.
  • Experience with dispatching, scheduling, customer service, or office administration.
The Right Person for This Position Is...
