Job description

Stoa Group is seeking an organized, dependable, and proactive Office Operations Coordinator to join our Human Resources team. Reporting directly to the Director of Human Resources, this role supports the daily operations of our Hammond Support Office while serving as the first point of contact for employees, visitors, residents, vendors, and callers.

The Office Operations Coordinator plays a key role in creating an exceptional workplace experience by coordinating front office operations, facility readiness, office services, vendor relationships, meeting logistics, and administrative support. As a member of the Human Resources team, this position regularly works with confidential employee and company information and is expected to exercise professionalism, discretion, and sound judgment in every interaction.

The ideal candidate is highly organized, service-oriented, communicates professionally, follows through on commitments, and enjoys creating an environment where employees and visitors feel welcomed and supported. They take pride in creating an organized, welcoming workplace, anticipate needs, and follow responsibilities through to completion while providing exceptional service to employees and guests.

This is a full-time, in-office position based in our Hammond, Louisiana Support Office. Remote and hybrid work are not available for this role.


Essential Duties & ResponsibilitiesFront Desk & Customer Experience
  • Serve as the first point of contact for visitors, employees, residents, vendors, and incoming phone calls.
  • Answer and direct incoming calls professionally while providing exceptional customer service.
  • Assist callers with general questions and connect them with the appropriate department, property, or team member.
  • Receive and document resident concerns submitted through the Support Office and coordinate communication with the appropriate Property Operations leader.
  • Maintain the company complaint log and assist in ensuring concerns are communicated and appropriately addressed.
  • Welcome visitors and maintain a professional, organized, and inviting reception area.
  • Receive, sort, and distribute incoming mail, packages, and deliveries.
  • Coordinate outgoing mail, shipping, courier services, and package deliveries.

Office Operations & Facilities
  • Coordinate the daily operations of the Hammond Support Office to maintain a clean, organized, safe, and professional workplace.
  • Conduct routine walkthroughs of the office to identify facility, maintenance, cleanliness, safety, and appearance needs.
  • Coordinate maintenance requests, janitorial services, vendor work, and facility-related projects while ensuring work is completed and communicated appropriately.
  • Partner with property management, maintenance vendors, utility providers, and service partners to support the ongoing operation of the office.
  • Monitor conference rooms, breakrooms, kitchens, common areas, and shared workspaces to ensure they remain stocked, organized, and ready for employees and guests.
  • Maintain office supply inventory and coordinate purchasing of office, kitchen, and facility-related supplies.
  • Coordinate vendor visits, repairs, inspections, and routine office services.
  • Recommend improvements that enhance the functionality, organization, and overall appearance of the office.

New Hire Workspace & Office Readiness
  • Coordinate workspace readiness for new employees working from the Hammond Support Office.
  • Ensure desks, office supplies, parking information, keys, badges, and other workplace resources are prepared prior to each employee's first day.
  • Partner with IT to coordinate Day One readiness by ensuring physical workspace preparation aligns with technology setup and equipment delivery.
  • Coordinate building access, office keys, badges, parking information, and other workplace resources for new employees.
  • Assist with office security by coordinating building access changes, holiday office lock-down procedures, and other workplace access needs as assigned.

Meetings, Events & Employee Experience
  • Coordinate conference room scheduling, meeting setup, catering, supplies, and event logistics.
  • Support leadership meetings, company events, training sessions, employee celebrations, and recognition activities.
  • Coordinate company merchandise, branded materials, uniforms, company store inventory, and employee gifts.
  • Assist in creating a welcoming, organized, and professional environment for employees, applicants, vendors, and guests.

Administrative Support
  • Coordinate business cards, office badges, keys, and workplace materials.
  • Maintain office calendars, vendor contacts, administrative records, and office documentation.
  • Assist with office opening, closing, and holiday security procedures to help maintain a safe and secure workplace.
  • Coordinate corporate apartment scheduling, readiness, and related logistics as assigned.
  • Maintain accurate administrative records related to office operations, vendors, facilities, and workplace access.
  • Collaborate across departments to support company initiatives and day-to-day operations.

Minimum Qualifications
  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Two or more years of experience in office administration, office coordination, customer service, hospitality, facilities coordination, or a related field.
  • Experience managing multi-line phone systems and providing exceptional customer service.
  • Strong organizational, communication, and time management skills.
  • Ability to prioritize multiple responsibilities while maintaining attention to detail.
  • Proficiency with Microsoft Outlook, Word, Excel, Teams, and standard office technology.
  • Ability to communicate professionally with employees, residents, vendors, and visitors.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Ability to occasionally move office supplies or packages weighing up to approximately 30 pounds.
